Position Information:
The Office of the Registrar is committed to delivering accurate, prompt, courteous, and consistent service to all students and to all constituents of the University, consistent with its educational mission. Under the direction of the Assistant Registrar, the incumbent is responsible for all areas of transcript production in the Office of the Registrar. Responsibilities include; 1) ordering, processing, reviewing and insuring errors are corrected prior to re-ordering, validating and mailing; 2) accepts, processes, and tracks all requests for rush transcript; 3) provides personalized customer service and ensure transcripts are processed in a timely manner; 4) preparation of daily deposits and reconciliation with transcript order report; 5) assists with class-in-rank, copying course descriptions, mail and report distribution, verification processing, general administrative support and assists in providing front counter coverage at Highlander One Stop Shop (HOSS) as needed. Minimum Requirements:
1. Two (2) years College level coursework or an equivalent combination of education and experience; knowledge and abilities essential to the successful performance of the duties assigned to the position.

2. Ability to interpret and apply federal, state, and UC regulations pertaining to student records, including the Federal Education Rights and Privacy Act (FERPA).

3. Skill in effectively analyzing and interpreting policies, practices, and guidelines with strict attention to detail.

4. Ability to effectively, professionally, and tactfully interact and communicate, both orally and in writing, with students, faculty, staff and visitors. Skill in independently composing letters, memos, reports, and other written communication materials using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills.

5. Ability to tactfully handle difficult requests and to offer alternatives.

6. Demonstrated organizational skills and abilities in managing multiple tasks and timelines. The incumbent must possess the ability to work effectively in a service environment that is subject to frequent interruptions. Skill in setting priorities that accurately reflects the relative importance of job responsibilities.

7. Ability to analyze and interpret detailed financial and enrollment records of individual students.

8. Ability to work independently while maintaining cooperative working relationships with co-workers in a team environment and with strict confidentiality at all times.

9. Demonstrated computer proficiency using Microsoft Office (Word, Excel, Access) or other equivalent software, the internet, e-mail messaging, and web-based software applications.

10. Demonstrated skill in expressing ideas clearly and convincingly.

Preferred Qualifications:
1. Previous experience in a University Registrar's Office strongly preferred.

2. Demonstrated experience using an online student information system.

3. Familiarity with UCR's student information system, particularly the Student Records and Student Business Services modules.
