Job Description: POSITION TITLE: ADMISSIONS RECEPTIONIST/CLERK (EVENING) CPADMS-CLRK01 STATUS: Part time DEPARTMENT: Admissions DIVISION: Student Services CLASSIFICATION: Non-exempt UNION: Non-union REPORTS TO: Director of Admissions and Recruitment/International Admissions and Office Coordinator PLACEMENT: Clerical, grade 5 MINIMUM PAY RATE: $14.76 per hour Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. The receptionist provides general information about the college, campus functions, and other assistance to customers. Maintains a high degree of confidentiality, provides excellent customer service, is dependable, and exercises good judgment in resolving issues. ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES 1. Screen and refer telephone calls, take and relay messages to other areas. Receive and direct visitors, and provide information regarding the college and its programs and procedures. Requires a broad base of knowledge about the college. 2. Preparation, maintenance, and processing of all documents (transcripts, ACT scores, address changes, name corrections, etc. ) related to the admission process and office by inputting data and updating information in the Colleague operating system. 3. Prepare mailings and letters to prospective students inquiring about the college; respond to customers' inquiries via email and other means. 4. Assist staff with the preparation and maintenance of all documents related to the admission office and maintain an adequate supply of all Admissions office forms. 5. Assist with the preparation of all documents for optical scanning. 6. Assist with student residency issues and assist in the maintenance of charge backs and cooperative agreements and correct billing of tuition and related correspondence. 7. Assist with training and development of student workers and new department employees. 8. Perform other related duties as assigned. MINIMUM QUALIFICATIONS 1. High school diploma or equivalent. 2. Two years of office experience. 3. Problem solving skills and excellent organizational skills with the ability to handle a variety of tasks and responsibilities simultaneously and effectively. 4. Detail oriented, a self-starter, and possess analytical skills, as well as maintaining a high degree of confidentiality. 5. Must be customer oriented, dependable, and exercise good judgment. 6. Demonstrated effective oral and written communication skills with diverse populations, college departments, and off campus agencies. 7. Ability to work responsibly with minimal supervision. 8. Knowledge of Microsoft Office Suite and other PC skills. PREFERRED QUALIFICATIONS 1. Bilingual in Spanish 2. Knowledge and/or experience with Ellucian Colleague software. PHYSICAL DEMANDS 1.
