Job Description Summary:
Bachelor's degree in an appropriate area of specialization plus 2-4 years of relevant professional experience. Degree requirements may be substituted with an equivalent combination of education, training and experience.
Special Instructions to Applicants:
Answers all calls in a timely manner and works to resolve issues from students, parents, third party payees, faculty and staff. The specialist ensures that callers are assisted in a consistent, accurate and professional manner. Resolves issues and elevatse the call, when necessary. If the issue cannot be resolved by the Accounts Specialist, they must correctly identify which group the issue must be elevated to and promptly elevate the issue using Remedy software.
Provides financial aid information to both parents and students. This includes, but is not limited to: detailed information regarding the application process for all students, review of the appropriate Banner screens to identify outstanding requirements for packages and the clear, concise explanation of these requirements; the differences between federal and institutional aid, merit and need-based aid, loans and awards; the status of a student's financial aid; the processing and posting timeframes of financial aid; the ability to identify issues that have resulted in the funds being returned to the lender; advising callers on what to do next; informing callers on the requirements for and status of appeals.
Possesses general knowledge of all student accounts and financial aid representative functions, key personnel, as well as business and financial policies. Stay apprised of current GWU policies, as well as federal guidelines and regulations to ensure correct information is provided to callers with financial aid and billing inquiries and issues.
Answers questions and explains transactions on bills as they relate to both student accounts and financial aid. Familiar with how to provide updated invoices, email account statements, and guide students on how to access the information online. Also familiar with what billing related issues need to be escalated to a Senior Account Representative.
Counsels students and parents on the options for financing their bill. This includes the ability to knowledgeably discuss the following options: the monthly payment plan, the Student Account eBill, 529 plans, third party payments, federal and institutional aid (grants, loans, etc.) and general information on private alternative loans.
Recognizes the needs of callers and provides exceptional customer service by assessing potential issues before they require escalation and by providing accurate account information by analyzing the various data which is maintained within a main frame database system (e.g. Banner).
Provides suggestions and assists in the establishment and revision of improvements to the department based upon interaction with students, parents, third party payees, faculty and staff. These suggestions and improvements will ultimately impact the daily operations and procedures within the department.
Identifies and elevates issues to their appropriate departments. This includes, but is not limited to: VA Benefits to the Office of Military and Veteran Student Services, returned checks and internal payment plans to the Collections Department; 529 plans and embassy reimbursement to Third Party Billing; Health Insurance Charges to Student Health Services; etc.
Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
