Position Information:
As Executive Assistant to the Vice Chancellor, Health Affairs & Dean, School of Medicine, provides executive-level programmatic, analytical, and administrative support on a wide range of issues, projects, programs, and on matters of importance to the School of Medicine. As an ambassador for the SOM, works collaboratively with internal and external constituents including, faculty, donors, affiliate partners, the media, and community partners to include local, county, state and federal representatives as well as the UC Office of the President. Works closely with the Executive Dean and provides analytical, programmatic, and administrative support as needed. Exercises sound judgment, tact, and the utmost discretion operating within a collaborative relationship with both the Dean and the Executive Dean. Has a thorough understanding of the Vice Chancellor's priorities and expectations, and takes these into account in coordinating the VC/Dean's schedule.

Manages the Vice Chancellors calendar and assures that the VC is fully briefed and has all relevant background materials for each engagement. Coordinates with other staff to clarify and arrange details of meetings. Ensures relevant materials, data, resources, information are summarized and compiled, as appropriate and applicable to a wide variety of situations and audiences. As required, arranges for communications, meetings/travel schedules, campus and community events, etc.

Staffs various high level committees and work-groups: develops and distributes agendas, attends meetings, records highlights and tracks action items, and initiates follow-up as necessary. Maintains electronic and hard copy filing systems for easy retrieval. Responsible for establishing and maintain a professional and cooperative working environment within the VC's Office. Initiates and abides by or enforces policies and procedures to achieve maximum efficiency.
Minimum Requirements:
Education and/or progressively responsible experience equivalent to a Bachelor's degree in a related field.

Demonstrated and progressively responsible experience in supporting high-level executives in a higher education environment, or similar setting.

Demonstrated experience working with and supporting medical professionals and executives.

Demonstrated ability to manage a heavily impacted executive schedule.

Demonstrated strong qualitative and quantitative analytical skills.

Demonstrated ability to determine and locate relevant and reliable sources for the collection of information and data.

Demonstrated knowledge and ability to utilize various software applications such as Word, Excel, Outlook, PowerPoint, and
Internet Explorer with a high degree of accuracy and speed.

Demonstrated interpersonal skills using a high degree of tact, diplomacy and discretion to interact in a positive and
polished manner with diverse constituents, including campus colleagues, administrators, community members, and
accreditation agencies.

Demonstrated oral, written, and communications skills that accurately express substance and nuance to effectively deal with
people in conversation. Ability to compose correspondence that clearly and concisely provides information.

Ability to work with a diverse group at all levels of an organization including faculty, staff, students, senior administrators
and external constituents.

Demonstrated ability to maintain confidentiality and sensitivity in all matters and ability to work as part of a team effort to
achieve departmental goals and objectives.

Ability to remain flexible at all times with changing priorities and last minute changes.
Preferred Qualifications:
Education and/or experience equivalent to a graduate degree in a related field.

Demonstrated knowledge and understanding of academic and administrative structure of UCR.

Experience supporting a medical school executive.
