Job Responsibilities


Under the supervision of the Dean, this position provides a wide range of complex and essential administrative support services for full-time faculty, staff, and adjunct instructors in the Division of Film, Media, and Visual Arts. This position is critical for the Division, as the administrative assistant serves as a liaison between other divisions, colleges, students, faculty members, and the community. The role involves interpreting operating policies and performing duties that require independent judgment. Responsibilities include maintaining the Division's course scheduling and instructor database while managing multiple projects simultaneously. Responsibilities include initiating and completing duties and special assignments with limited supervision, while maintaining discretion, sound judgment, and professionalism.

Minimum and Additional Requirements

This position requires a high school diploma and work experience that is directly related to the area of employment. Bachelor's degree may be substituted for the related work experience.

Preferred Qualifications

Candidates with at least a minimum of three (3) years of administrative experience is highly preferred. Successful candidate will have experience with Microsoft Word and Excel. Experience with Ellucian Colleague educational software is a plus. The individual must have strong customer service skills, and be comfortable communicating and working with students, faculty, and the public on a daily basis. The individual is expected to understand the institutional guidelines for completing and submitting the necessary contracts and supporting documentation for full-time and adjunct instructors, part-time positions, work-study students, and grant related activities. They will demonstrate self-direction, leadership, cooperation, and initiative. Candidates must be highly organized, detail-oriented, and capable of training other employees while exercising judgment and discretion in interpreting and applying policies and procedures. Confidentiality must be always upheld. The position also requires the operation of office equipment as well as the distribution and collection of documents and other items around campus. Candidates should be able to manage multiple priorities and remain flexible to accommodate extended hours of operation during peak periods.
