Supervision Received: The Associate Director reports to the Executive Director of Institutional Research.
Supervision Exercised: The Associate Director has no direct supervisory responsibilities.
Salary: $80,000 to $85,000 (salary commensurate with experience and education)
General Statement of Duties:
The Associate Director supports the activities of the Offices of Institutional Research and the Registrar through the management and querying of databases, statistical analysis of data and internal and external reporting of institutional data. The Associate Director supports multiple, simultaneous projects in order to develop and support a campus culture of making data-informed decisions.
Duties and Responsibilities:
Duties include but not limited to:
Essential:
- Complete internal reporting and provide routine and ad hoc data to/for various offices on campus, including but not limited to enrollment reports, retention reports, financial aid reporting, program review and accreditation, and other data needed to facilitate management decision-making, assessment, planning, and policy development.
- Writes database reports and queries on demand when data is not available through institutional data reporting systems, or other previously prepared reports; oversees viability of the contents of the institutional data reporting domain, including: working with IT staff and other university report writers and serving as contact for all reporting-related questions in conjunction with the Institutional Research office.
- Manage and assist in the development of databases that support Institutional Research and the Registrar.
- Work with the Registrar and IT to develop and maintain a comprehensive institutional data repository, ensuring data integrity, security, and accessibility.
- Support the coordination, collection, and submission of required external reports/datasets/surveys (routine and ad hoc) including but not limited to IPEDS, New England Board of Higher Education, U.S. News, College Board, Princeton Review, Peterson's, and the Common Data Set.
- Extract, coordinate, and verify data for compliance reporting (e.g., IPEDS, state-level mandates, accreditation bodies) and other external agencies (e.g., U.S. News, college guidebooks).
- Assist in the development of standardized data practices to ensure data accuracy, security, and integrity, and maintain and organize comprehensive documentation for all data management, analysis, and reporting activities.
- Assist in the design and development of survey instruments.
- Collect, compile, maintain, and report data for institutional purposes, including the creation of internal data summaries (e.g., University Factbook, Common Dataset, Strategic Plan, accreditation activities) and shared dashboards.
- Work with academic departments to meet their institutional data reporting needs and/or develop student data reports.
- Provide research support for internal and external institutional data requests.
- Manage communication and provide a high level of service in meeting the analytical and data needs of campus stakeholders.

Job Requirements:
Qualifications:
- Experience and/or interest in higher education.
- A bachelor's degree in data science, computer science, computer information systems, statistics or social science with the appropriate technical and analytical skills.
- Knowledge of relational database architecture and functionality and experience querying databases using SQL.
- Experience working with third-party database report writers.
- Prior work experience with records management in an academic setting using higher education management software like Ellucian Banner and Argos.
- Ability to comply with privacy/confidentiality laws as they relate to student records specifically, or to the electronic storage of personal information.
- Ability to record, verify and report data with a high degree of accuracy.
- Working knowledge of Microsoft Office programs, especially Excel and Access.
- Strong written and verbal communication skills.
- Excellent organizational skills.
- Experience working both independently and within a team environment.
- Ability to manage multiple projects concurrently.

Salary:
Salaries for current Westfield State University employees and individuals currently working for the state of Massachusetts must be calculated individually in accordance with collective bargaining agreements as well as state policies. State job specifications may be found on the Department of Higher Education's webpage.
