About the Department:

NC State’s Park Scholarships program was established in 1996 with the support of the Park Foundation of Ithaca, NY. The Park Scholarships program brings exceptional students to NC State University based on outstanding accomplishments and potential in scholarship, leadership, service, and character. The program develops and supports Park Scholars in these areas, preparing them for lifelong contributions to the university, state, nation, and world. The scholarship includes tuition and fees, room and board, enrichment activities, and additional expenses. About 35-40 Park Scholars are selected annually. In 2013, the Park Foundation announced a $50 million gift to begin an endowment for the Park Scholarships at NC State. The department reports directly to the chancellor of the university.

Essential Job Duties:

The Business Officer plays a vital role in managing the financial, administrative, and operational functions of the department. Reporting to the Senior Associate Director, you will oversee financial management, including state appropriated funds, endowment and annual giving income, and grants. In addition to finance you will also have oversight in areas of personnel administration, purchasing, facilities coordination, and compliance. This position helps to ensure the efficient use of resources and support the department’s strategic goals.
Key Responsibilities are organized below:

Business and Finance Support:

  • Manage the department’s $6 million budget, ensuring compliance with university policies.
  • Monitor, reconcile, and report on financial accounts from multiple funding sources.
  • Oversee financial transactions, including purchasing, travel reimbursements, and payments.
  • Coordinate scholarship and grant disbursements for over 150 students and 100 enrichment grants annually.
  • Manage the student computer stipend process, approving purchase proposals and fund releases.
  • Analyze financial data, prepare reports, and develop projections for sustainable resource management.
  • Implement financial policies and procedures to streamline business operations.
Human Resources Coordination:
  • Oversee HR functions, including payroll, timesheets, onboarding, and personnel actions.
  • Hire, train, and supervise a student worker.
  • Ensure compliance with personnel policies and labor laws.
  • Provide guidance to staff on HR processes and procedures.
  • Plan and coordinate departmental events, including budgeting, logistics, and vendor payments, while also providing additional support for events planned by others.
Office & Program Support:
  • Serve as Office Manager, including space planning, safety, and supply management, and liaise with housekeeping.
  • Develop and implement office policies to improve efficiency.
  • Serve as the primary contact for general departmental inquiries.
  • Support program administration by maintaining departmental records.

Other Responsibilities:

In addition to the core responsibilities of this role, there will be occasional opportunities to take on additional duties; such as assisting the program director with scheduling, travel, and correspondence. Minimum Education and Experience:

Bachelor’s Degree in Business Administration, Public Administration, or related business area; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Preferred Qualifications:

  • Proficiency with Microsoft Office (Word, Excel) and Google Workspace (Gmail, Drive, Calendar, Docs, Sheets).
  • Knowledge of UNC System and/or NC State community, processes, and protocols
  • Previous experience with NC State financials (procurement and purchasing card processes, etc.)
