Job Details
The Campus Visit Experience Coordinator plays a pivotal role in the coordination and execution of key enrollment events and campus tours at Texas A&M University-San Antonio. This position is responsible for supporting the Assistant Director of Campus Visit Experience in the planning and organization of events such as Future Jaguar Day, Admitted Student Fiesta, and Paying for College. Additionally, the coordinator will oversee the logistics for group and daily campus tours, ensuring that prospective students, families, and guests receive an engaging and informative campus experience. This role requires strong organizational skills, attention to detail, and the ability to collaborate effectively with multiple campus departments.
Responsibilities:
Event Coordination:
Assist in the planning, coordination, and execution of key enrollment events including Future Jaguar Day, Admitted Student Fiesta, and Paying for College, and more.
Work with internal stakeholders to ensure smooth logistics and a positive experience for all event attendees.
Campus Tours:
Organize and coordinate daily campus tours, including guiding prospective students and their families through campus, sharing relevant information about Texas A&M University-San Antonio.
Coordinate group tours for high schools, community colleges, and other organizations.
Ensure the campus tour schedule is maintained and updated regularly.
Secure locations and spaces for tours, ensuring all logistical details are in place.
May oversee student employees to ensure appropriate coverage of tours and events.
Event Logistics and Space Management:
Work with internal and external partners and vendors to secure and organize all aspects of events and tour planning, including room reservation, catering, technology services, and more.
Ensure all equipment, materials, and supplies are prepared and available for events.
Collaborate with facilities and other departments to ensure event spaces are set up according to requirements.
Communication and Collaboration:
Serve as a liaison between the Department of Community Partnerships & Campus Visit Experience and other campus departments to ensure smooth execution of tours and events.
Respond to inquiries regarding campus visits and enrollment events via email, phone, and in person.
Assist with the recruitment, training, and coordination of tour guides and event volunteers.
Administrative Support:
Maintain accurate records related to event planning, attendance, and feedback.
Assist with budget tracking and ordering supplies for events.
Provide administrative support as needed to the Assistant Director and other team members.
Required Education and Experience:
Bachelor’s degree in related field.
Two years of related experience.
Preferred Education and Experience:
Experience working in higher education or with prospective students.
Knowledge, Skills, and Abilities:
Strong organizational skills with the ability to manage multiple tasks and deadlines.
Excellent verbal and written communication skills.
Ability to work both independently and collaboratively in a team-oriented environment.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
Strong customer service skills and the ability to engage with diverse audiences.
Ability to adapt to changing needs and unexpected situations.
Working Conditions:
Occasional evening and weekend work may be required to accommodate event schedules.
Ability to lift and carry materials related to event setup and organization.
A valid driver’s license and reliable transportation may be required for off-campus events.
