The College of Professional and Continuing Studies is seeking a Program Coordinator to assist with our Industry Partnerships, including the Economic Development Institute, Lean Institute, and Energy Education Programs.
Essential duties for this role will include the following:
- Coordinates administrative activities of a designated program or programs.
- Coordinates the activities between projects for a department or college and between those projects and other programs on the national or state level. Interfaces with university departments, funding sources, outside organizations and state & government agencies.
- Distributes information to program staff and others. Answers questions about the program and its progress as it relates financially.
- Organizes and participates in the analysis of collected data. May perform data entry, collect, and clean data.
- Coordinates administrative functions such as personnel, operational matters and other services.
- Plans and oversees special projects.
- Performs various duties as needed to successfully fulfill the function of the position.
- Participant engagement & advising – describing program to prospective participants, reviewing applications to the program, reviewing progress towards certification completion, ad hoc student inquiries via phone or program inbox.
- Course / event logistics (before, during after event) -- monitoring participant lists, ordering supplies, packing, on-site advising, coordinating mentoring program and Lunch & Learn sessions, class administration (AV, setup, F&B), preparing sign-in sheets, graduation gifts and diplomas, working the registration desk.
- Marketing Support – assisting with marketing implementation for social media and communication (LinkedIn, Facebook, Constant Contact, and various AI platforms).
- Managing course materials – gathering presentation PowerPoints from instructors, compiling course manuals, managing course materials requests, preparing printing order, uploading course materials for PDF download.
- Registration & records support – inputting course schedules, tracking variance between course selection & payment systems, updating profiles, progressing participants completed coursework, providing transcripts, trouble shooting issues.
- Online course support – creating participant Canvas accounts, adding participants to online courses, resolving participant issues.
- Administrative – answering and/or routing calls and visitors, manual sales & shipping, miscellaneous duties as they arise.
- Database enhancement / maintenance – find new prospects and remove invalid ones from email marketing lists.
Job Location
Required Education: Bachelor's degree, AND:
- 36 months of related experience
Skills:
- Ability to speak, read and write clear, concise English
- Basic math skills
- Ability to accurately read and understand written materials and instructions
- Highly organized and able to handle multiple projects and deadlines
- Able to produce reports and complete work within deadlines
- Excellent customer service skills
- Strong initiative to solve problems.
- High level of proficiency in Microsoft Office, including Outlook, Excel, Access, and Word.
- Experience using social media platforms and online applications such as design apps.
Advertised Physical Requirements:
- Must be able to engage in repetitive motion and sit for extended periods of time.
- Ability to communicate effectively, including expressing oneself or exchanging information with others.
- Ability to see, including depth perception, color, and clarity.
- Ability to hear, including perceiving sounds at normal speaking levels and ability to receive detailed information through oral communication.
- Ability to bend, lift, carry up to 25 lbs. on an infrequent basis.
- Standard office environment with moderate exposure to periods of stress due to deadlines and busy periods.
- Must be willing to travel overnight twice per year for ~5 days each
Departmental Preferences:
- 12+ months experience in advising, program or academic support.
- 12+ months experience in higher education.
Supervision: The role may help supervise a student employee when the role is filled.
