Unit Mission Statement:

The Center for Geospatial Analysis (CGA) is the comprehensive resource for William & Mary students, faculty, staff and community partners interested in the ever-evolving field of geospatial technologies. Our mission is to provide access to geospatial technologies and the expertise to support learning and research using these powerful analytic mapping tools. The CGA fosters teaching, research, and public service as an integral part of education linked through programs designed to preserve, transmit and expand knowledge of geospatial technologies [e.g. geographic information systems (GIS), remote sensing technologies (RS), global positioning systems (GPS), and small unmanned aerial systems (sUAS or drones)].

Position Summary:

William & Mary’s Center for Geospatial Analysis (CGA) invites experienced applicants for the position of Administrative & Fiscal Coordinator whose efforts will support the administrative, fiscal and programmatic needs of the CGA. Under the supervision of the Associate Director, this position works closely with CGA staff, faculty, and adjunct instructors to facilitate operational effectiveness, help manage interdisciplinary academic programs and support the center’s procurement and hiring needs. The Administrative & Fiscal Coordinator will also play a key role in providing support for other units across Arts & Sciences on a part-time basis. The successful candidate will be a motivated self-starter with the ability to balance competing priorities with accuracy and efficiency.

Primary responsibilities include:

  • Providing unit support to include administrative personnel services, academic course scheduling and registration processes.
  • Coordinating program meetings, colloquiums, and special events to include catering, agenda, and guest travel arrangements and reimbursements.
  • Assisting with department communications and technological support.
  • Serving as first point of contact to office visitors, students and faculty in person and by telephone and assist to answer or refer inquiries.
  • Managing the center’s funds by verifying accounting entries, balancing monthly expenditures against the budget, and maintaining budget tracking spreadsheets.
  • Processing various fiscal transactions (e.g., invoices, reimbursements, and student and faculty stipends).
  • Conducting grant accounting and providing pre- and post-award assistance with budget tracking; coordinating with the Office of Sponsored Programs to ensure that grant funds are expended appropriately, and in compliance with federal and state guidelines.
  • Preparing all Professional Service Agreements and Personnel Action Forms in support of CGA programs.
  • Serving as Hiring official to support hiring of faculty, adjuncts, staff and student employees.
  • Liaising with multiple units on campus to facilitate processing of transactions and procurement of equipment and services.


Conditions of Employment:

  • Occasional evening and weekend work required, i.e. during open house, admitted students weekends, homecoming, orientation etc.
  • This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.

Required Qualifications:

  • High School graduate or equivalent.
  • Working knowledge of general office practices and procedures, including customer service techniques and etiquette.
  • Working knowledge of procurement & purchasing policies, procedures, and practices.
  • Working knowledge of fiscal administration and general accounting practices and procedures, as well as tracking and projecting expenditures.
  • Demonstrated ability to communicate effectively, orally and in writing, to a diverse population of faculty and staff.
  • Demonstrated proficiency with Microsoft Office Suite to include Word, Excel, PowerPoint, and Outlook calendar.
  • Demonstrated ability to effectively work with productivity systems and applications in the areas of funds management and procurement.
  • Demonstrated ability to interpret and apply organizational policies, procedures in accordance with state & federal guidelines.
  • Ability to learn web-based applications and productivity systems, i.e., Workday, Cascade, Blackboard, group calendars, listservs, etc.).

Preferred Qualifications:

  • Experience working in a higher education environment, preferably in fiscal administration.
  • Experience with grant fiscal administration.
  • Experience with productivity systems and applications such as Banner, Qlik, Workday, buyW&M, and Chrome River.
  • Experience with academic course scheduling.
  • Familiar with general employment/hiring practices and procedures.
  • Demonstrated ability to manage multiple calendars, preferably using an automated calendaring system.

Advertised Pay Range:

Up to $46,000

Advertised Pay Range Statement:

All hiring rates are commensurate with relevant experience up to the advertised amount considering internal alignment.
