The Academic Data Analyst for the Undergraduate Records Office is responsible for the efficient collection, management, and distribution of key academic data related to student enrollments, graduations, faculty, and academic programs. This role supports the University's administrative and academic functions by ensuring accurate and timely data is available for decision-making, reporting, and compliance purposes. The ideal candidate will be detail-oriented, organized, and proficient in handling various data sets.
Data Collection and Management:
General assessment:
- Gather and manage large datasets from various sources, including student information systems, learning management systems, internal and external databases
- Ensure data quality and integrity by developing and implementing data management protocols and conducting regular audits
- Perform regular and ad-hoc data pulls for class lists, enrollment figures, and other requested data sets
- Ensure compliance with data privacy regulations, such as FERPA, SARA, and institutional policies
- Adhere to current workflow requirements and propose new workflows as necessary
Graduation reviews and officiating:
- Collect and maintain accurate data on student graduations across different programs. Ensure data is up-to-date and readily accessible for reporting and analysis
- Perform annual audit of engineering undergraduate student body using the student information system and FileMaker to ensure student compliance and degree progress with graduation requirements
- Participate in officiating process and commencement logistics and implementation
- Coordinate dual degree and double major graduation participation
Reporting & compliance:
- Prepare and submit required and requested reports to College leadership to support resource allocation and policy decisions
- Assess credit hours taken for each semester using student information systems, isolating by population, to understand trends
- Collect and compile faculty workload data from student information system for institutional reporting
- Compile and produce data required for the annual University report
Student Record Management
- Review student eligibility for tuition overload waiver requests, approve requests when warranted ensuring thorough documentation, coordinate with undergraduate student counselor when necessary
- Track student full-time/part-time status, coordinate with undergraduate programs office, and update records as necessary
- Review, process, and track degree enhancements such as double majors and dual degrees to ensure degree compliance
- Review and approve class standing petitions
Backup Responsibilities:
- Scheduling: Assist with the scheduling of classes, exams, and other academic events as needed. Ensure the scheduling process is efficient and conflicts are minimized.
- Approvals ServiceNow: Manage the approval process for various administrative requests through ServiceNow or similar platforms. Ensure timely processing and tracking of approval requests.
- Graduation: Support the graduation process, including data verification.
- Oversee Program Coordinator: Assist the program coordinator, providing guidance and support as needed. Ensure the program coordinator's tasks are aligned with colleges objectives.
Required Skills

- Bachelor's degree, 1-3 years of experience.
- Attention to Detail: Strong focus on accuracy and data integrity.
- Organizational Skills: Ability to manage multiple tasks and deadlines efficiently.
- Communication Skills: Ability to communicate data insights and reports clearly to various stakeholders.
- Technical Proficiency: Familiarity with data management systems and reporting tools used by the university.
- Problem-Solving: Ability to troubleshoot data issues and provide solutions.
