Job Summary
The Operations Assistant will process and oversee work order scheduling for special projects, moves, and maintenance repair requests on both campuses and outlying properties. This position also serves as a quality control touchpoint by conducting utilization and maintenance audits, service completion inspections, compiling reports, and assisting with day-to-day office operations.
Responsibilities
Significant Duties & Responsibilities include: Works with the scheduling staff to accurately assign special projects, moves, and maintenance repair requests and work orders promptly.; Serves as a front-line representative for the department, answering all calls and queries expeditiously.; Assists with regular utilization studies of services by preparing data collection forms and analyzing data to determine peak usage and average usage times.; Ensures the accuracy of work schedules compared with time off requests and other absences.; Works with individuals to resolve disputes/problems and investigates complaints as needed.; Inspects service completion through forms, random audits, and other means fitting the type of service.; Assists with day-to-day office operations such as ordering supplies, conducting minor equipment inventories, and organizing data.; Other duties may be assigned.
Required Qualifications
Required Qualifications include: High school diploma or equivalent.; Minimum of three (3) years of experience in a customer service field.; Must possess a valid driver's license.
Preferred Qualifications
Preferred Qualifications include: Previous office operations experience is a plus.; Experience scheduling and/or assigning work orders, repair requests, and/or staff is preferred.
Proposed Salary
The proposed annualized salary range for this position is $35,868 - $38,852 and includes full benefits.

Knowledge, Skills, & Abilities include: Verbal and written communication and interpersonal and organizational skills in a rapidly changing environment.; Ability to prioritize under pressure and exercise initiative, judgment, and problem-solving skills to complete work, take responsibility, and make decisions based on solid analysis and interpretation.; Relate and work effectively with university employees, faculty, students, and the public in a collegial, cooperative, and respectful manner.; Working knowledge of word processing, database, spreadsheet, presentation, email, and electronic calendar software (i.e., MS Word, Access, Excel, PowerPoint, and MS Outlook).; Requires the ability to respond to common inquiries or complaints from internal and external customers.; Must be able to occasionally lift 30 lbs.; Some early mornings, nights, and weekends will be required.

Conditions of Employment

- A credit check completed for Positions of Trust and or approved departmental Purchase Card usage;
- Pre-employment drug testing for positions with high-risk responsibilities.
