Job Description Summary
The Stavros Niarchos Foundation (SNF) Paideia Program creates and supports opportunities for the Penn community to learn about dialogue, from dialogue, and how to dialogue, towards a goal of individual and societal wellness. Through SNF Paideia-designated courses, a Fellows program, resources, events, and initiatives, the program contributes to the diverse dialogue landscape at Penn.
The SNF Paideia Program Coordinator provides administrative support to the diverse and dynamic programming of the SNF Paideia Program including Paideia-designated courses and Paideia events (except for fellows events). In addition, this position supports the financial processes, information tracking, and office space management needed to make the program run smoothly. The Program Coordinator also provides administrative support to the Executive Director, including managing their calendar. This position is ideal for someone comfortable working with spreadsheets and diverse platforms for information gathering and presentation. Excellent communication skills and the ability to manage multiple information flows simultaneously are essential to success in this role. The Program Coordinator works collaboratively with the entire Paideia team and reports directly to the SNF Paideia Executive Director.
Job Description
Job Responsibilities
- Provide administrative support for managing SNF Paideia-designated courses, including working with the business office to transfer course funds to academic departments, corresponding with faculty & academic administrators to ensure smooth rostering and communication, creating and maintaining online course proposal form (currently in Survey Monkey Apply), maintaining internal data/spreadsheets on course information, requesting and tracking institutional data related to Paideia courses, and scheduling staff visits to Paideia courses each semester.
- In partnership with staff, manage all aspects of logistical support for Paideia events outside the fellows program, including room reservations, catering, A/V and technical support, tracking event information by creating registration links, tracking event attendance and distributing and collecting post-event surveys, process reimbursements and honoraria related to events, provide day-of staff support at events, and take the lead on addressing other event-related administrative needs as they arise.
- Support financial and budgetary needs of the program in collaboration with the Executive Director. This includes serving as the primary liaison with the business office, providing internal program budget tracking (except for fellows program) and reporting for staff, manage processes for paying guests, post doctoral fellows, graduate fellows and other vendors; process non-fellows funding awards; process purchase card receipts and reconciliation.
- Oversee general office supply and space management with a commitment to hospitality and creating a welcoming space for staff, students, and our many partners. This includes ordering and maintaining office supplies for the team; serving as primary liaison between program and support services like HireIT, housekeeping, and the building manager; supervising part-time student worker(s) who can support office needs, and creating practices for maintaining a welcoming and work-friendly office environment.
- Manage calendar for Executive Director, Faculty Director, and team meetings and programming, including jointly managing shared conference room and program calendar.
- Provide other administrative support to the Executive Director as needed and assigned.
Qualifications
- Bachelor's degree and 2 to 3 years of experience or equivalent combination of education and experience is required.
- Familiarity with the following programs and platforms are preferred: Excel, SharePoint, Survey Monkey Apply, Qualtrics, and Penn marketplace.
