We are seeking a Program Coordinator who will provide support for a wide variety of functions including administrative, research, financial and sponsored funds coordination for the Diabetes Prevention Outcome Study. This position will assist with pre-award and post-award functions and may assist with submission of less complex grants. This position supports the principal investigator and serves as a consistent point of contact for the program.
Specific Duties & Responsibilities
Sponsored Funds Support
- Help prepare and coordinate narrative and statistical reports for private and government agencies.
- Assist with pre-award and post-award functions e.g., proposal preparation, account maintenance and oversight, billing/invoicing, and reporting
- Partner with departmental faculty and/or financial staff on the planning and development of application submissions to various federal offices, private agencies/foundations and commercial companies.
- May work with representatives from Office of Research Administration, under the guidance of senior members of the departmental research/administration team.
- Assist with sponsored project proposals and submissions for assigned grants of moderate complexity.
- Coordinate related details for assigned grant/project submissions to ensure timeliness and accuracy.
- Maintain updates and communications related to current grants and contracts, this includes regular review and reporting to principal investigators and research management.
Administrative and Research Support
- Compose agendas, documents, correspondence, and memos on behalf of the faculty.
- Assist with production of manuscripts, technical documents, tables, graphs/charts, correspondence and notes.
- Provide support for faculty activities e.g., membership in national societies, research projects, and production of scholarly publications and presentations,
- Serve as liaison for department with vendors, labs, staff, faculty, internal departments, and outside organizations.
- Participate in the preparation of medical records and research documentation, budget, regulatory documents for patient records, grant proposals, clinical or research protocols, and contractual agreements.
- Coordinate faculty scheduling including faculty travel and faculty-sponsored events, and general scheduling/calendars.
- Assist with scheduling and coordinating neuroimaging study visits for research participants.
- Conduct communication with George Washington University (coordinating center for the Diabetes Prevention Outcome Study), and the University of Pennsylvania (Neuroimaging Reading Center for the study).
- Responsible for event planning and coordination, scheduling for meetings, seminars, special guests and events.
- Ensure travel and related expenses are within budget and exercise fiscal responsibility to reduce costs.
- Coordinate and develop the annual in-person participant retention and consent event under general supervision.
- Ensure appropriate pre-and post-event outreach, communication, and dissemination of results.
- Perform ad hoc research and fact-finding on a variety of issues and items as requested by faculty.
- Create, maintain, analyze and improve office systems and practices.
- Maintain equipment and service contracts.
- Perform day-to-day basic financial transactions including purchase orders, travel reimbursements, reconciliation of expenses, etc.
- Identify and communicate budget issues, provide alternative solutions, and resolve problems in compliance with department and JHU guidelines.
- Order office and lab supplies and equipment.
Additional Knowledge, Skills, & Abilities
- Strong organizational and analytical skills, problem solving abilities, and attention to detail.
- Ability to coordinate projects independently and work constructively as part of a team.
- Operate a computer to access email, electronic calendars, and other basic office support software.
- Use various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports.
- Utilize an Internet browser to search for contacts for research, clinical consultation, and international contacts for teaching and travel.
- Excellent interpersonal skills, ability to handle multiple complicated tasks, prioritization skills.
- Able to work independently or with minimal supervision.
- Skilled at working as a member of a team.
Minimum Qualifications
- High School diploma or graduation equivalent.
- Five years progressively responsible related experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Medical terminology skills.
- Related work experience in a clinical or medical research field.
- General understanding of external Federal Guidelines, funding/sponsor communication & grant/contract best practices.

Role/Level/Range: ATO 37.5/03/OF
Starting Salary Range: $21.25 - $36.90 HRLY ($70,000 targeted; Commensurate w/exp.)
Employee group: Full Time
Schedule: Monday - Friday 8:30am to 5pm
Exempt Status: Non-Exempt
