HERE IS WHAT YOU WILL DO

The Office of International Initiatives is recruiting for a Business Affairs Coordinator to assist in managing the financial aspects of the faculty-led study abroad programs, administrative HR duties, and overall office support. 

This Business Affairs Coordinator will handle the budgets and the financial details for approximately 60 faculty-led programs on an annual basis including travel authorizations, travel expense statements, reimbursements to faculty, posting charges to student accounts, monitoring student payments and deposits, processing payments to vendors, budget monitoring and reconciliation, and working various departments within the university to set up detail codes, deposit codes and speedtypes. This position also guides faculty program directors on fiscal matters and works with internal and external stakeholders to route contracts in a timely manner. This position reports to the Business Manager for the Office of International Initiatives. 

 Duties to include: 

  • Posts study abroad program fees to students’ accounts in Banner.  
  • Monitors student deposits and payments for study abroad programs. Manages department services and sales accounts and deposit accounts for individual study abroad programs. 
  • Reconciles budgets at the end of the programs. Processes program director travel authorizations, travel expense statements, and reimbursements. 
  • Works with outside vendors, study abroad providers, purchasing, and legal to review agreements and contracts to make payments for programs. 
  • Advises Program Directors (Faculty) on planning and paying for accommodations and travel abroad. 
  • Collaborates with The Director of Study Abroad Programs and individual program directors to make sure that programs are financially viable and that they do not go over budget.  
  • Works closely with faculty to address financial concerns and complications that may arise before or during travel.
  • Develops and maintains strong professional relationships with faculty and staff within the office. 
  • Processes wire transfers, travel advances, and payments to vendors. 
  • Works with University Departments such as Budget and Planning, Revenue, Receivable and Cashiering Services, Student Accounts, Purchasing, Legal, and outside vendors, both domestic and international to ensure program accounts are created, budgets are up to date, vendors are set up in our payment system and agreements and contracts are approved.
  • Conduct training and workshops for faculty on study abroad account procedures.
  • Assist with scheduling interviews for vacant positions in International Initiatives and communicating with applicants.
  • Assist with general office administrative tasks such as room reservations, monitoring office email accounts and phone calls, scheduling meetings, ordering supplies, and preparing and routing documents for International Initiatives.  
  • Takes over duties and responsibilities for the Business Manager during absence. 


  • Qualifications

    Minimum Hiring Qualifications:

    Bachelor's degree and two years of business management experience; or a combination of education and related experience.

    Preferred Hiring Qualifications: 

    Experience creating and monitoring budgets for multiple programs. 

    Proven ability to successfully navigate challenging scenarios and a broad spectrum of personalities.

    Experience establishing and maintaining effective working relationships.

    Possess a high attention to detail, the ability to handle multiple projects, and a proven record of time management skills.

     Demonstrate superior verbal and written communication skills. 

    Demonstrated ability to use diplomacy in difficult situations.

    Possess a keen sense of discretion when dealing with sensitive information.

    Previous experience with study abroad programs, Spectrum, Panthermart, and Banner.

The university announced in April 2008 that is will begin Division I-AA football in 2010.

    The university’s innovative Touch the Earth program brings outdoor recreation ranging from backpacking, rock climbing, sailing, kayaking, rafting and water-skiing to out-of-state snow-skiing and snorkeling trips. And WRAS, Georgia State’s popular 100,000-watt radio voice, is the most powerful student-run radio station in the United States.
