Job Description Summary / TWC Summary:

Under general supervision provides diverse administrative support to senior level manager and completes special projects of a highly skilled nature related to the operations, functions, and activities of the department or division. Reports to senior level manager.

Essential Duties Summary:

  • Provides diverse and complex administrative support to senior level manager by implementing day-to-day administrative procedures and processes consistent with established University policies and systems.
  • Serves as a liaison with other departments and external contacts in providing information and determining appropriate course of action for routine and moderately complex matters within the department or division.
  • Screens telephone calls and visitors. Manages calendar and independently schedules appointments for the senior manager.
  • Composes, reviews and distributes confidential and complex correspondence, reports, forms, and documents that are sent to internal and external contacts. Responds independently within scope of responsibility.
  • Participates in program/project planning, development and achievement of established goals and objectives.
  • Prepares and coordinates payroll, timesheets, overload, and employee action forms.
  • May supervise and provide guidance to clerical support staff or student workers. Organizes the flow of clerical processes in the office.
  • Tracks, monitors and reconciles fiscal management resources, costs and other activities, including budget data and expenditures.
  • Compiles statistics and gathers and computes various data. Verifies accuracy of information on standard University forms. Prepares graphs and charts for management use or presentations about departmental or divisional activities.
  • Coordinates and arranges meetings, conferences and committee meetings. Makes complex travel arrangements.
  • Selects and recommends purchases of appropriate office supplies and equipment.
  • Establishes and maintains departmental files, records and reports. Follows procedures for systematic retention, protection, retrieval, transfer, and disposal of files and records.
  • Performs other job-related duties as assigned.

Hiring Range:

$21.87 - $27.88

Education:

High School diploma or G.E.D. or equivalent and specialized or technical training.

Required Licensing/Certification:

None required.

Knowledge, Skills, and Abilities:

Knowledge of:

  • Policies, procedures, and practices.
  • Microsoft Office Professional or similar application.

Skill in:
  • Detail oriented.
  • Effective customer service.
  • Multitasking and time management.
  • Writing documents.
  • Both verbal and written communication.
Ability to:
  • Monitor standard filing systems.

Work Experience:

One (1) to three (3) years of related experience.

Working/Environmental Conditions:

  • Routine office environment.
  • Sitting or standing in one location much of the time.
  • Use of video display terminal.
