The purpose of the medical records technician/receptionist position is to perform medical record and office support functions for the Minot Center for Family Medicine. This includes maintaining patient charts and ensuring their accuracy; working with residents, physicians, directors, office and administrative staff to provide quality service to patients; keeping patient medical chart flow efficient while maintaining an optimum learning environment for resident physicians and other students involved in the clinic; scheduling patient appointments; checking patients into the clinic; performing data entry into a scheduling software system; and communicating clinic processes to patients.
Duties & ResponsibilitiesMedical Record Preparation and Retrieval, Data Entry & Reporting for Obstetrics Patients
- Prepare and maintain medical records.
- Retrieve medical records for appointments and quality assurance purposes, and as requested throughout the day by nursing staff and physicians.
- Check for misfiles and outdated out guides on a periodic basis.
- Maintain current information on deceased patients.
- Merge OB medical record with primary medical record after delivery.
- Route OB/regular chart to physicians to complete.
- Receive request for release of medical information.
- Ensure that request for release information is appropriately completed and signed.
- Ensure that proper physician authorization is obtained, if necessary, prior to releasing requested information.
- Maintain a tracking system for all incoming and outgoing records.
- Retrieve medical information from other facilities as requested, and notify appropriate physician when they are available.
- File all medical records.
- Learn and use new electronic records system.
Patient Registration and Scheduling, Collect cash and credit card payments
- Greet and register patients in a timely, professional and confident manner. Schedule appointments and notify patients of appointment changes.
- Determine, verify, and update appropriate patient demographics.
- Use knowledge of database system to provide appropriate and confidential appointments.
- Communicate and establish positive relationships with internal and external customers to problem solve, explain policies and procedures, and explain financial processes i.e. co-pays, address verification to maximize timely reimbursement.
- Gather, validate, update, and accurately input patient information into computer system.
- Enter information into computer for preparation of fee encounters.
- Request and collect co-payments and monies due from patients at time of registration.
- Post payment into software system; process credit card payments following policy.
- Balance cash drawer against software report and prepare funds for deposit process.
- Prefer knowledge of patient registration procedures
- Excellent verbal and written communication skills
- Strong computer skills and experience with Microsoft Word and Outlook (or other email software)
- Experience demonstrating outstanding telephone proficiency and etiquette.
- Excellent interpersonal skills to work professionally with faculty and resident physicians, staff, patients, and the general public.
- Demonstrated ability to maintain strict confidentiality of information.
- Demonstrated ability to multitask while maintaining attention to detail.
- Satisfactory criminal history records check.
- High School diploma or GED
- 1 year of experience in an office or medical records setting
- Successful completion of a Criminal History Background Check

Preferred Qualifications- Training or demonstrated familiarity with Health Insurance Portability and Accountability Act (HIPAA) rules and regulations
- Experience with accepting credit card/cash payments and posting to a software system.
- Experience working with protected health information (PHI) and associated rules and regulations.
- Experience working with manual filing systems as well as electronic medical records systems.
- Experience working in a family medicine or primary care clinical setting.
