Coordinate and provide administrative support to members of the CFAES Rattan Lal Center for Carbon Management and Sequestration (Lal Carbon Center). Arrange purchases and track needed office supplies; prepare expenditure forms; assist in tracking expenditures of grants; supervise student assistants and liaise with other support staff; coordinate activities of other faculty members cooperating with the Lal Carbon Center. Stores center truck keys and PCards, assists with distribution and tracking of truck mileage. Send weekly email to center members with important announcements and upcoming events. Coordinate interviews for candidates applying to center positions. Assist supervisor in tracking/approving staff hours and absences through Workday.
Assist in preparing and editing letters, scientific manuscripts, books, brochures, grant proposals and teaching materials; develop and prepare documents using Microsoft Office and graphics; coordinate materials to develop website contacts with other universities; assist in preparing slides and PowerPoint presentations to present at professional meetings as needed. Make routine updates to CV and publication list; keep track of presentations given & add them to publication list. Assist in submission of publications and processing of publication fees. Make updates to the website. Write quarterly newsletters.
Aide in tracking schedules of event and meetings, coordinate and schedule conferences, travel, workshops and supports overall logistics for the Lal Carbon Center; communicate with and arrange for guest speakers and visiting scholars and makes accommodations. Prepare itineraries and coordinate schedules with other university departments. Coordinate and manage supervisor’s daily schedule of events to ensure attendance. Lead set-up of weekly staff meetings and seminars; work with SENR staff to reserve rooms for meetings/seminars/other events.
Required Experience:
- High School Diploma or GED.
- Two years experience using computers to generate a variety of materials ranging from basic to complex; two years in office practices and procedures and customer service.
Desired Experience:
- Skills in typing of manuscripts
- Advanced proficiency in Microsoft Office
- Budget preparation
- Knowledge of university systems and procedures
