Department Responsibilities
Space Planning and Utilization: Develop and implement strategies for effective space utilization for academic spaces (including instructional, research, administrative, and other academic support spaces). Conducts regular assessments of space needs and usage to recommend adjustments that optimize the use of facilities. Utilizes software, computer systems, and university data files for current space inventory, utilization, planned renovations, and space assignments. Collaborates with university leadership to develop, educate, implement, and monitor policies and procedures regarding space assignment and usage.
Project Management: Represent the Office of the Provost for the planning, design, and construction of academic facility projects. Office of the Provost’s Liaison to the University’s Planning, Design & Construction office on all projects.As representative of the Provost, responsible for ensuring that projects are completed in line with the identified project scopes and within the established and approved financial parameters and timeframes.Represents the interests of space users by reviewing construction drawings and specifications for compliance with objectives, evaluating cost estimates and bids, and overseeing project budgets, expenditures, and schedules.
Program Management: In alignment with the strategic priorities established by the Provost, formulates comprehensive multi-year plans for academic facilities and equipment. Supports the Provost and the AVP for Academic Affairs in planning, prioritizing, and scheduling projects to ensure consistency with the academic mission. Manages programs within the Office of the Provost to maintain and improve the functionality of academic facilities and equipment. Recommends and develops strategies for service delivery enhancements and implements innovative programs, policies, and procedures for efficient program planning and management.
Collaboration: Work closely with university leadership, faculty, and staff to ascertain needs and priorities for academic space. Communicate effectively with all stakeholders to ensure alignment and support for initiatives regarding academic space.Serves on committees and work groups at the direction of the AVP for Academic Affairs. Collaborates with stakeholders and representatives within the University Registrar, Office of Research, Information Technology Services, Facilities, Planning, Design & Construction, Transportation & Parking and other academic, research, administrative or support units.
Policy Compliance. Serves as a subject matter expert in interpreting University policies, procedures, regulations, and statutes pertaining to academic spaces.These include space management, budget allocations, appropriate use of university funding types, and other critical areas impacting academic operations. Ensures clarity and compliance with institutional and regulatory requirements. Acts as a resource to offer clear interpretations and actionable recommendations to support decision-making and resolve complex issues effectively.
Policy Development. Leads the creation and refinement of policies and procedures to support academic space assignment and usage. Collaborates with academic and administrative stakeholders to align space utilization strategies with the University's goals, ensuring efficient and equitable distribution of resources.
QualificationsBachelor's degree and six years experience related to administrative services or a combination of post high school education and experience equal to ten years.
