Your opportunity:

The Rotman Commerce program is offered jointly by the Rotman School of Management and the Faculty of Arts and Science. It is a highly respected program within the business, financial and academic communities. Rotman Commerce serves approximately 3,400 in-program undergraduate business students as well as over 18,000 graduates of the Bachelor of Commerce program. Rotman Commerce offers its students a rich and rigorous academic program alongside ample opportunities to develop themselves personally and professionally.

As the Program Services Representative,you will be the first point of contact for a wide variety of enquiries in a front desk situation. This includes answering questions and providing guidance to students, as well as prospective students, advising faculty regarding program policies, practices and procedures, and liaising with other University offices and departments.

Your responsibilities will include:

  • Acting as the first point of contact for program-related enquiries; providing information to students on program and/or course requirements; liaising with prospective students to provide general program information
  • Screening and making referrals to academic advising and other university resources or services, and communicating with those offices; scheduling advising appointments on behalf of academic advisors
  • Collecting and reviewing requests for special consideration and supporting documentation and communicating with students about their requests; communicating with faculty regarding approval of requests for special consideration
  • Working with the Enrolment and Records Coordinator to support the collection and recording of deferred exams
  • Supporting event and program logistics; liaising with students and faculty to coordinate program activities and events
  • Creating communication materials; providing data on advising appointments and requests for special consideration for reports
  • Maintaining course information on student information systems
  • Collecting and distributing examination papers to/from instructors; obtaining course information and materials from instructors

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent education and experience
  • Minimum two (2) years related work experience in a University setting
  • Excellent computer skills, including MS Office and e-mail
  • Well-developed oral and written communication skills
  • Initiative, discretion and ability to work with limited supervision
  • Good judgment and ability to interact with others with tact, courtesy, and patience
  • Demonstrated ability to organize and prioritize work
  • Ability to work under pressure and with a large volume of work


Assets (Nonessential):

  • Working knowledge of ROSI or similar system
