Pay Grade/Pay Range: Minimum: $48,600 - Midpoint: $60,800 (Salaried E7)

Department/Organization: 219101 - University Libraries

Normal Work Schedule: Monday - Friday 7:45am to 4:30pm; occasional nights and weekends

Job Summary: The Event Planner conceptualizes event theme, itinerary, etc. Develops and manages event budgets. Oversees the implementation, execution, and follow-up for events hosted on- and off-campus. Creates invitations. Selects sites. Creates seating arrangements. Negotiates with florist, caterers, event space staff, print shops, etc. Manages on-site contract staff, students, and etc.

Additional Department Summary: This position is responsible for managing and executing events for the University Libraries. Schedules and supports events utilizing the Library facilities by external departments. Manages event budget to ensure costs stay within allocated budgets. Operational responsibilities include but are not limited to: supervising student workers, publishing and maintaining content on the website, UA’s Events calendar, and social media accounts for upcoming events, managing travel logistics for guest speakers, serve as a liaison to multiple campus and library departments, performing graphic design and memorializing events with video or still photography.
Must be able to work nights and weekends.
Working knowledge of digital presentation applications and hardware. Working knowledge of various office production software, including Excel, Word, and Powerpoint etc. Excellent communication and customer service skills. Demonstrated ability to problem-solve.
Degree in Hospitality Management; experience working in the food service industry, experience working with catering providers and vendors, experience managing event spaces and various presentation technologies, experience with UA Procurement system (Concur), graphic design experience, experience with social media account management, experience with video production, and knowledge of best practices for still photography and video.
Monday - Friday 7:45am to 4:30pm; occasional nights and weekends

Required Minimum Qualifications: Bachelor's degree and two (2) years of event planning or coordination experience; OR master's degree.

Additional Required Department Minimum Qualifications: Must be able to work nights and weekends.
