Position Summary:

The Grants Manager will provide full oversight and management of restricted accounts. This will encompass all aspects of post-award grants management. This position is part of the College of Agriculture and Environmental Sciences’ Contracts & Grants Office and will provide PI’s reports for funds status, monitor compliance including cost share and effort, and assist business managers in overall grant support.

Knowledge, Skills, Abilities and/or Competencies:

  • Considerable knowledge of the principles, concepts, and procedures of business administration, and skill in applying accounting and financial management principles.
  • Knowledge of university, state, and federal policies concerning grants budgeting and the application of effort for personnel paid from grants.
  • Thorough knowledge of UGA financial and Human Resources systems, and proficiency in Microsoft Office and other business information systems and software.
  • Ability to work independently on complex issues related to day-to-day operations of restricted accounts.
  • Ability to produce and maintain reports and records.
  • Ability to establish and maintain effective working relationships with faculty and staff.
  • Analytical skills to conduct research on policies and procedures.

Duties/Responsibilities:

Account Management:

  • Work within UGA systems including UGA Financial Management System, UGA Budget Management System, Grants Portal, and UGAMart.
  • Monitor expenditures and project spending on restricted accounts to ensure that the projects are correctly budgeted and the correct account codes are opened.
  • Provide updates to principal investigators regarding the status of funds available from sponsor-funded projects and assist the principal investigators with accessing and utilizing the funds efficiently and within the sponsor, state, and federal guidelines.
  • Provide account detail statements to PIs monthly. Provide scenario-based figures when requested and aid as needed to compile budget information for reports to funding agency.
  • Assist with account closeouts.
  • Verify grant spending follows UGA and funding agency guidelines and that accounts are audit ready.
  • Send reports identifying projects that do not have expenditures posted.
  • Send 30, 60, and 90 day reports on grants coming to an end.
  • Submit and monitor modifications to grant as requested including NCEs, budget changes, PI changes, sub award payments, etc.

Duties/Responsibilities:

Personnel Management:

  • Work with faculty’s home department business managers to ensure Key Personnel effort is being applied in accordance with the restricted account project budget. This includes ensuring research buyouts are in place, effort is applied and distributed appropriately throughout the project budget year, cost-share is met, working with the Research Administration Manager to ensure any discrepancies are addressed internally and externally.
  • Review and approve Funding Changes and Express Direct Retros.
