The Academic Program Coordinator is responsible for coordinating, facilitating, and implementing academic support services and program activities for School of Education programs. This role supports faculty, students, and staff, ensuring smooth program operations while maintaining effective communication across programs. Key responsibilities include program coordination, student support, administrative assistance, and fiscal responsibility. The Academic Program Coordinator works closely with program leadership to ensure academic and administrative systems align with the program's objectives.


Specific Duties & Responsibilities

  • Coordinate and manage academic systems and administrative services to support the program's activities.
  • Work with program directors to develop and maintain academic course schedules; assist with preparing information for SIS and update information regularly.
  • Assist with the assignment of adjunct faculty and the collection of textbook information.
  • Prepare adjunct faculty contracts and track payroll request forms.
  • Coordinate program events, meetings, and logistics, including invitations, agendas, and scheduling.
  • Assist in the creation, proofing, and distribution of program materials such as handbooks and catalogs.
  • Manage program marketing events, including planning and logistics.
  • Provide information about academic areas of emphasis to a broad range of contacts, including potential and current students, alumni, faculty, other members of the JHU community and external contacts.
  • Provide technical support, including the management of electronic and paper records, and handling data compilation and analysis for reporting.
  • Develop, deploy, and maintain secure systems for confidential student records, ensuring compliance with university policies.
  • Serve as a liaison between students, faculty, and administrative offices such as Financial Aid, Registrar, and Student Accounts to resolve issues.

  • Knowledge of University policies related to finance, human resources, and academic administration.
  • Ability to work collaboratively across programs and departments, maintain effective working relationships, and provide constructive feedback.
  • Strong organizational, analytical, and problem-solving skills with the ability to assess priorities and manage competing responsibilities.
  • Excellent proofreading, editing, and communication skills, with the ability to manage confidential information.
  • Strong proficiency in administrative and academic systems such as Slate, SIS, SAP, Canvas, Qualtrics, and Microsoft Office Suite.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years administrative/academic related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Bachelor's Degree.
  • Five years of progressively responsible experience in program administration within higher education.
  • Experience in project management and systems thinking.

Role/Level/Range: ATO 37.5/02/OE
Starting Salary Range: $18.20 - $33.90 HRLY (Commensurate with experience)
Employee group: Full Time
Schedule: Monday - Friday, 37.5 hours per week
Exempt Status: Non-Exempt
Location: Hybrid/Homewood Campus
