Position Summary

The Office Assistant is an integral member of the team and provides comprehensive administrative support to the RCPD department, including individualized support to the RCPD Director. This role is responsible for handling complex information and providing reliable decision-making support to facilitate departmental operations. The assistant will collaborate closely with RCPD leadership and staff, faculty, staff, students, university departments, and external partners to support the center’s mission to empower and serve students, faculty, and staff with disabilities.

Duties and Responsibilities Include:

30% Information Management & Decision-Making: Collect, compile, and analyze complex and diverse information to support departmental operations. Independently make decisions and ensure accurate documentation to maintain data integrity for RCPD records and processes. Verify and interpret information, coordinating responses to internal and external requests in a manner that supports RCPD’s goals and compliance with University policies.

25% Communication & Public Interaction: Serve as the primary point of contact for inquiries to RCPD, interacting with students, faculty, university departments, and external agencies. Provide accurate information, assist in resolving issues, and facilitate effective communication across stakeholders. Coordinate services, schedules, and share resources to support accommodations and accessibility, ensuring high-quality support for RCPD clients and constituents.

20% Financial & Administrative Support: Manage bookkeeping and financial records for multiple RCPD programs, supporting budget planning, grant tracking, and expenditure monitoring. Process financial documents to ensure efficient, compliant allocation of funds for RCPD operations. Reconcile accounts, track expenditures, and assist in budget forecasting as part of financial support for RCPD projects and planning.

15% Report Preparation & Document Management: Assist in preparing analytical reports, proposals, and other essential documents for RCPD by gathering data, developing insights, and ensuring accuracy and clarity in all submissions. Review, draft, and edit materials to meet quality standards. Support grant proposals and research initiatives by compiling data and assisting in documentation that meets university and granter requirements.

10% Project & Event Coordination: Coordinate logistics for RCPD meetings, events, and workshops, including scheduling, preparing materials, and handling arrangements to ensure successful implementation. Manage small projects independently to support RCPD objectives, staff engagement, and outreach efforts.

Minimum Requirements

Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database and/or desktop publishing software; presentation and webpage software; typing and filing; maintaining accounting ledgers; may require knowledge of technical or medical terminology and/or technical knowledge or training related to the field of employment; or an equivalent combination of education and experience.

Desired Qualifications

Experience in an administrative or office support role, ideally within a university or similar setting.
Strong organizational, analytical, and problem-solving skills with the ability to manage and process complex information.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
Excellent communication skills, with the ability to interact effectively with diverse groups including university personnel, students, and the public.
Ability to work independently, exercise sound judgment, and contribute to a collaborative team environment.
