The Facilities Data Administrator under the guidance of the Director is responsible for managing, administering, and supporting multiple systems that aid in collecting and disseminating various building documentation and space data. This role encompasses a broad spectrum of tools and technologies, focusing on systems, applications, software, databases, and end-user support.

The primary system that this position will administer is The Ohio State University’s Space Information and Management System (SIMS), which encompasses data about 1200+ buildings, 125,000+ spaces, including over 40,000,000 square feet. The position will manage the operation of the document archive portion of SIMS consisting of architectural and engineering data and drawings associated with all construction projects. The system also includes building specifications, building design standard files, and other critical building data.

  • Creates, maintains, updates, and edits archive data associated with each building and project.

  • Reviews electronic submittals (via Trimble Unity Construct (eBuilder) of record drawings of the completed construction projects.

  • Ensures AutoCAD and Revit drawings meet OSU standards before acceptance.

  • Oversees the process for scanning project drawings and manages large format scanning equipment.

  • Provides analysis and reporting for building information requests from university departments, architectural and engineering firms, and contractors.

  • Develops training materials and documentation, as well as provides end-user training and technical support for system users.

  • Manages all user access for SIMS

In addition, this position will assist in managing space data in this system as part of a team.

  • Ensures the data accuracy for all University space through input of space assignments, onsite building audits, and capturing 360° photos of spaces.

  • Responsible for a wide range of routine and customized space related reporting.

  • Responsible for enforcing OSU space information standards.

Manages OSU’s BIM 360/Autodesk Construction Cloud (ACC) environment including project and user creation. Manages the procurement and administration of the university's Autodesk software licenses.

Oversees 2-3 student staff needed to maintain currency and accuracy of the document archive.

The Facilities Data Administrator is passionate about the quality and accuracy of our data and for helping others interpret that data through effective and meaningful reporting. Is detail oriented and can work with large amounts of data quickly and intuitively. Position operates with a good deal of autonomy and is expected to drive improvements into the processes and systems that are used to support this position.

Qualifications:

Required:

  • Bachelor's Degree in Management Information Systems, Health Sciences, Computer Science or relevant field.

  • 2 years of experience with records and information management.

Desired Not Required:

  • Knowledge and experience with Excel.
  • Basic knowledge and understanding of data systems, data reporting and querying

  • Ability to understand data quality and have a deep commitment to ensuring data is accurate and reliable.

  • Ability to manage multiple projects and priorities effectively.

  • Ability to provide excellent customer service and creatively solve problems.

  • Excellent communication skills, both verbal and written.

  • Excellent organizational skills.

  • Ability to efficiently travel around and between campuses.

  • 2-4 years of relevant experience with document management systems, scanning technology, and software used for archiving and retrieval.

  • Ability to read and interpret architectural, HVAC, plumbing, electrical, and structural drawings.

  • Basic understanding of Autodesk AutoCAD and Revit Software

  • Experience with Autodesk BIM 360 or Autodesk Construction Cloud (ACC).

  • Excellent process mapping and optimization.

  • Strong analytical and problem-solving skills.

  • Experience with Tableau or Power BI.

  • Experience with Trimble Unity Construct (eBuilder).

  • Experience with Space Information Systems.

  • Experience with scripting, programming, or code development in SQL, python, or other languages.

The target hiring range for this job profile is $58,700 - $65,000. The actual salary paid to an individual will vary based on multiple factors, including but not limited to, education, years of experience, internal equity, etc.
