Job Description:
- Provide customer service as first point of contact by answering multi-line phone and greeting walk-in clients. Route visitors and calls according to specified procedure.
- Compile and maintain vendor directory. Maintain relations with vendors and coordinate appointments to ensure service. Seek quotes and invoices from vendors.
- Operate office equipment such as computers, postage machine, copier, fax printer and scanner.
- Assist in the preparation of correspondence, email, and performing other administrative and secretarial duties as needed for faculty and staff of the Duval County Extension Office.
- Work as a team with administrative assistants to provide office support.
- Work with custodial staff to maintain supplies and upkeep of building, especially during peak programming times; keep building ready to receive the public at all time.
- For all office equipment (including postage meters and printers) place orders for supplies, and schedule and coordinate service calls as needed.
- Prepare outgoing mail and distributes incoming mail and packages.
- Assist with onboarding and offboarding employees.
- Collect data and prepare reports. Design forms and recordkeeping systems for program support.
- Assist fiscal operations by counting cash, preparing deposited checks, and supporting fiscal reporting activities.
- Manage office supply inventory.
- Assist with routine documents including correspondence, spreadsheets and reports.
- Required to drive to events and transport equipment.
MARGINAL FUNCTIONS OF THE JOB AND THE PERCENTAGE OF TIME SPENT ON EACH FUNCTION
10% Performs other duties as assigned by CED
NORMAL WORK SCHEDULE
10:30am to 5:00pm M-F with a 30-minute lunch
REQUIRED LICENSES, CERTIFICATIONS, AND OTHER SPECIFIC REQUIREMENTS OF LAW.
Must possess and maintain a valid Florida driver's license. For purposes to travel for UF/IFAS.
COMMUNICATION
Contacts are typically with IFAS/ County employees, elected and appointed officials, vendors, and members of the general public.

MONETARY RESPONSIBILITY
Assist in collecting registration fees.
Expected Salary:
$15.81 - $19.93, commensurate with experience

Minimum Requirements:
High school diploma or equivalent and one year of relevant experience or an equivalent combination of education and experience.
Preferred Qualifications:
Knowledge of county and UF/IFAS office policies and procedures.
Knowledge of public records management principles.
Knowledge of computers and job-related software programs, particularly Microsoft Suite.
Skills in analysis of problems and the development and implementation of solutions.
Skills in the preparation of timely, clear and precise administrative reports.
Skills in oral and written communication on a high professional level.
Skills in displaying professional demeanor.
Ability to prioritize and demands of multiple responsibilities.
