    Athletics

    St. Edward's University is seeking a motivated and experienced Athletics Facilities and Event Coordinator to oversee the daily operations of our athletic facilities and coordinate event management for NCAA athletic teams and external events. This individual will ensure the maintenance and optimal functionality of all athletics facilities, while also serving as the primary point of contact for game day operations, from logistics to staffing. The ideal candidate will possess strong organizational, leadership, and communication skills to manage the complex demands of our dynamic athletics department.

    Qualifications:
    • Bachelor's degree, Masters preferred.
    • Minimum of two years of related work experience in facility management, event coordination, or a similar field.
    • In depth knowledge of NCAA rules and regulations, specifically pertaining to hosting games and events.
    • Experience operating sports venue equipment (e.g., scoreboards, public address systems) and managing game day logistics.
    • Strong problem-solving skills and the ability to handle multiple tasks simultaneously in a high-pressure, goal-oriented environment.
    • Exceptional written and verbal communication skills, with the ability to communicate effectively with diverse groups, including athletes, coaches, staff, and external vendors.
    • High level of motivation and the ability to work independently with minimal supervision.
    • Must possess an unencumbered driver's license and the ability to pass a criminal background check.


    Responsibilities:
    • Facility Management: Oversee all indoor and outdoor athletics facilities, ensuring they are well-maintained and ready for practices, games, and external events.
    • Maintenance Coordination: Manage facility maintenance requests, create preventative maintenance plans, and evaluate the efficiency of systems, working closely with the University's Facilities Department to propose improvements.
    • Event Management: Coordinate and supervise game day event operations, serving as the primary contact for concessions, ticketing, parking, custodial services, and other logistics.
    • Staff Supervision: Hire, train, and supervise event staff and student workers for home athletic events, ensuring smooth setup, execution, and breakdown of events.
    • Budget Management: Develop and manage event-related budgets, providing oversight of expenditures and ensuring financial compliance with departmental and university standards.
    • Scheduling and Coordination: Manage the scheduling of athletic facilities for both NCAA practices/competitions and external events, maintaining a master calendar in coordination with RecWell.
    • Vendor Relations: Serve as the liaison to the athletics field maintenance vendor, ensuring that all field and facility maintenance is performed timely and meets standards.
    • Event Logistics: Coordinate logistics and communication with all necessary constituents during the event planning process, ensuring efficient and effective execution of athletic events.
    • Regulatory Compliance: Ensure all activities and events comply with relevant regulations and policies, particularly those pertaining to NCAA and university guidelines.
    • Special Event Management: Manage bid proposals for NCAA postseason events and oversee game day operations for these events.
    • Campus Engagement: Participate in campus-wide committees and work towards accomplishing the long-range goals of the university.
