Job Details
- Oversees office operations, including operational support, guidance to student employees and other staff as needed.
- Provide excellent customer service, including answering phones and responding to inquires about our services. Triage students, faculty, and visitor needs within the department. Screen calls for the staff, making appropriate referrals when answers are not available in the department.
- Handle incoming/outgoing correspondence and draft routine communication of a general and non-technical nature to staff, students, and campus partners.
- Organize and maintain files/reports for the office in accordance with retention guidelines.
- Review and approve travel expense reports. Arrange and coordinate department meetings and events for the department (location, food, parking, RSVPS, etc.). Attend meetings as requested for sign-in support, minute taking, and general trouble shooting.
- Compile materials for meetings and follow-up data. Organize staff searches to include Taleo requisition, scheduling, room reservations and calendar invites.
- Manage the Director’s calendar.
- Serve as the key and access coordinator, managing office keys and maintenance needs.
- Assist with marketing efforts.
- Order supplies.
- Hire and supervise student help and monitor student payroll reports.
- Support staff with Handshake posts for positions.
Qualifications and Skills
Required:
- High School Diploma or equivalent.
- Three years' experience providing administrative support.
- Working knowledge of a variety of software platforms and standard office equipment.
- Strong communication skills.
- Excellent customer service skills.
- This position requires a candidate who is dependable, motivated and projects a professional and positive image of the department.
- High degree of organizational skills in order to manage multiple tasks, both short and long term.
- Able to work independently and collaboratively and interact with the public, employees and students in a courteous, respectful, and efficient manner.
- Able to seek out solutions to problems, learn and develop new procedures.
- Comfortable moving towards an increasingly paperless office.
- Ability to work collaboratively with a diverse group of students, faculty, and staff.
- Associate's degree or above.
- Experience working with PeopleSoft, 25Live, DocuSign and a willingness to learn new University software platforms as assigned.
- Higher Education experience.
- Graphic design/layout tools for departmental marketing materials.
