Overview

Macalester’s Department of Spanish and Portuguese seeks to hire a full-time (0.88) Department Coordinator to provide general administrative support to the department, as well as to the Latin American Studies Program. This person will act as a first point of contact for the department and program, and is responsible for general operations, fiscal monitoring, projects/events, management of confidential information, and supervision of student employees. The Department Coordinator needs to have excellent interpersonal skills, be an effective communicator, and have the ability to balance multiple priorities and set healthy boundaries with tact, humor, and professionalism. A campus-wide network of academic staff with similar responsibilities is available to provide professional advice and mentoring.

 

This is a non-exempt, onsite, 12 month position. During the 10 month academic year this role works full time hours of 8:00am to 4:00pm, with more flexibility during the summer months of June and July (approximately 10 hours per week during these months). 

About The Department: 

 

  • We are a department of approximately 12 faculty members
  • We offer classes in Spanish and Portuguese language as well as courses in literature, linguistics and cultural studies 
  • We have a Spanish major and minor and a Portuguese minor
  • We see approximately 800 students per year in our courses
Responsibilities
  • Assists with general administrative tasks, provides clerical and administrative support to department faculty and staff.
    • Oversees and monitors multiple budgets; coordinates budget requests
    • Maintains the department’s and program’s websites and social media accounts
    • Acts as administrative liaison and point of contact for the department and program; provides information about course offerings, and welcomes students and others on and off campus. 
    • Manages physical office space and orders office equipment and supplies
    • Organizes and coordinates logistics for department and program events
    • Works collaboratively with other units on campus such as ITS, Facilities, etc. to best meet the needs of faculty and students.
  • Hires, schedules, and supervises 20-23 students workers; understands how to mentor, motivate, and marshal their work for the benefit of the whole office
  • Creates a friendly, and structured work environment for faculty, staff, and students
  • Helps build a sense of community and belonging for all majors and minors; thinks creatively and strategically to encourage social participation by the department’s and program’s students
Qualifications
  • High School Diploma Required, Bachelor’s degree preferred
  • A minimum of 1-3 years of relevant experience
  • Demonstrated commitment to working with individuals of color, first-generation college students and/or individuals from diverse backgrounds
  • Strong attention to detail, organizational skills and accuracy in financial and data management
  • Excellent communication skills (i.e. writing, social media, digital design)
  • Commitment to the public good and student development
  • Ability to organize and prioritize work; work independently; provide support for multiple individuals; maintain confidentiality with materials, information, and communications
  • Proficient in MS Office and Google Suites and committed to staying up to date on new tools for everyday (budget and communications) and exceptional (national searches and external reviews) department needs.
  • Knowledge of Spanish or Portuguese is strongly preferred.

 

Compensation:

The hourly wage for this position will be $21.00-$23.00 depending on experience.
