Minimum Qualifications:Requires at least a baccalaureate degree in the field. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.
Preferred Qualifications:- 5+ years of previous work experience overseeing operations in a veterinary clinical setting.
- Experience growing a veterinary practice.
- Certified Veterinary Practice Manager (CVPM) or Veterinary Management Institute (CVPA) certification.
- Experience managing inventory, budgets, and financial statements.
- Experience managing a diverse team with strong people skills and the ability to motivate, coach, and inspire others.
The Veterinary Practice Manager will oversee the daily operations of the PHC/SOC. The PHC/SOC is a general practice for dogs and cats where the next generation of veterinarians learn to practice across the spectrum of care (SOC). SOC means a variety of high-quality, evidence-based care options that meet the needs of both the patient and the client. The Practice Manager will oversee the day-to-day operations of the PHC/SOC with the goal of ensuring exceptional patient care, client experience, and instruction of veterinary students. The Practice Manager will also be responsible for helping maintain a positive and welcoming environment for PHC/SOC doctors, staff, students, clients, and patients.
Knowledge, Skills, Abilities and/or Competencies:- Be familiar with veterinary medicine terminology.
- Excellent communication skills, including both written and verbal communication.
- Attention to detail and strong organizational skills, including the ability to multitask and prioritize.
- Ability to learn quickly and absorb new information rapidly.
- Proficient in computer systems and software applications used in veterinary clinics.
- Lift and carry up to 50 pounds.
- Sit, stand, stoop, bend and walk intermittently during the day on hard floor surfaces.

Duties/Responsibilities:Business/Clinic Operational Duties:
1. Manage staff and processes that facilitate the provision of exceptional veterinary care in an efficient manner simultaneous with effective instruction of students and ensure that day-to-day operations run smoothly.
a. Clients and patients need to be seen and treated in a professional, timely, and competent manner.b. Identify potential “bottlenecks” and formulate solutions to remove inefficiencies in business and medical operations.
2. Oversees practice appointment schedule.a. Manage scheduling templates to optimize the number of procedures and appointments seen each day.b. Coordinate and communicate changes to appointment schedules, ensuring adequate floor coverage is available.c. Ensure caseload goals are being met and work with the College of Veterinary Medicine (CVM) Communications and Marketing team to drive growth as needed.
3. Participate in the financial management of the practice
a. Development of an annual budget in partnership with PHC/SOC and VTH leadership.
b. With PHC/SOC and VTH leadership, oversee accounts receivable, accounts payable, and payroll.
c. Review monthly profit and loss statements.
d. Set prices for goods and services in partnership with PHC/SOC and VTH leadership.
e. Reconcile finances: Manages daily deposit, Audits charges on routine basis, Manages client statements and bills
4. Inventory managementa. Maintain an accurate inventory database, conducting bi-annual audits.b. Oversee the ordering of supplies and pharmaceuticals, monitor costs, and ensure costs and mark-ups are kept up to date in the practice information management system.
5. Manage equipment
a. Manage regular preventive maintenance and service/maintenance contracts.
b. Repair/replace.
c. With PHC/SOC and VTH leadership, manage new equipment requests.
6. Facility management including:a. Ensuring a safe and clean environment for clients, patients, faculty, staff, and students, working with UGA FMD and the College’s facilities team to address concerns as needed.
7. Manage medical records
a. Ensure quality, accuracy, and completeness of records.
b. Serve as the liaison between the PHC/SOC and the EMR company.
c. Help manage the use of the EMR system as well as other supporting systems (such as AI software) throughout the practice.
d. Recommend and help implement more efficient processes.8. Ensure compliance with University, College, and VTH policies and procedures as well as all state and federal regulatory requirements.

Duties/Responsibilities:Customer Relations:
1. Oversee appointment and prescription reminders along with other official communications between the PHC/SOC and clients.2. Ensure a positive customer experience through process improvements, and customer service practices and procedures to help retain existing clients.3. Work to attract new clients by partnering with VTH and CVM Communications and Marketing teams to create and implement a marketing plan that may include advertisements, social media posts, booths at community events, etc.
4. Maintain the PHC/SOC website.5. Handle client concerns in a timely manner and help resolve client issues.6. Work with PHC/SOC faculty to ensure a high-quality experience for students.
