The Department of Medicine is one of the largest in North America, with 830 full-time faculty members, 1,000 postgraduate trainees, and 20 specialty and sub-specialty divisions located across six fully-affiliated hospitals, four community-affiliated hospitals and more than a dozen additional clinical practice sites. We are a powerhouse of medical research, with more than $162 million in annual research funding. This research generates new knowledge with the goal of meaningfully impacting internal medicine training and the care and health outcomes of patients and their families.
As Program Coordinator, you will collaborate with faculty, trainees and a high-performing team of administrative coordinators to support our education programs. Drawing upon your outstanding organizational skills and attention to detail, you will serve as a central facilitator, frequently liaising with trainees and fostering relationships with internal and external stakeholders. Your ability to work with a committed core of constituents and your adeptness working with online course materials, assessments and evaluations are key to the successful delivery of the program.
Your responsibilities will include:
- Providing detailed information on program and training requirements
- Ensuring hospital administrators follow medical education requirements, guidelines and procedures
- Coordinating application processes, verifying the accuracy and completeness of documents and calculating grades
- Preparing examination timetables and coordinating program schedules and activities
- Verifying and reviewing Royal College training requirements, drafting correspondence to trainees and faculty and updating records
- Coordinating logistics for events, meeting schedules, taking minutes, arranging catering and troubleshooting timetabling and room booking conflicts
- Updating and maintaining trainee records and generating reports
- Verifying the accuracy of invoices, making minor purchases and collaborating on cost estimates
Essential Qualifications:
- Bachelor's Degree or acceptable combination of equivalent experience
- Minimum two years' of related experience in a University or equivalent environment such as a teaching hospital
- Demonstrated student services experience, including experience coordinating postgraduate education programs, examination timetables and ensuring program requirements, guidelines and procedures are adhered to
- Experience working effectively in fast paced team environments and providing front-line support to academic leaders and committees
- Experience supporting events and implementing virtual meeting platforms
- Experience drafting correspondence, maintaining databases and generating report
- Demonstrated experience coordinating events (sourcing vendors, monitoring budgets), from concept delivery, coordination of logistical tactics, execution, and post-event reconciliation
- Advanced proficiency with MS Office Suite, learning management systems, content management systems and survey tools
- Excellent communication and interpersonal skills, tact, political acuity and diplomacy
- Strong organizational skills and demonstrated ability to multi-task, meet deadlines, manage competing priorities according to changing demands
- Ability to think critically and analytically
- Demonstrated ability to work independently, as well as part of a team
- Ability to work well with individuals at all levels, including faculty, staff and students in a manner that engenders cooperation
- Demonstrated ability to learn and innovate, using technology
