JOB SUMMARY:The Administrative Services Coordinator position will report to the Associate Vice President for Institutional Assessment, Planning & Effectiveness. This position will serve as the key central support for the department of Institutional Assessment Planning & Effectiveness (IAPE). The department is comprised of three distinguishing areas, 1) System Data & Reporting 2) Data Analysis/Analytics and 3) Assessment & Strategic Planning. The Administrative Services Coordinator position will manage a variety of administrative and office responsibilities related to the business operations and activities of the department. Responsibilities include organization of procedures such as tracking budget expenses/budget transfers, completing travel arrangements, credit card reconciliations, requisition generation, purchasing of office supplies/materials, and other administrative services. This position supervises and coordinates day-to-day activities and manages the calendaring of a shared departmental calendar. Conducts follow-ups with areas via email or phone concerning data requests and/or assessment plan updates, etc.

Performs and completes special projects of a skilled nature, such as supporting the planning and delivery of department training, event promotion (memos/invites, etc.), managing and/or completion of common data requests based on available departmental web content. Support the supervision of work study student(s)/student workers/interns, etc. Assist with maintaining current content on the department website, converting annual reports for posting, ensuring referenced links are accurate, etc.

DISTINGUISHING CHARACTERISTICS:Professionally organized and able to complete tasks accurately and in a timely manner with limited supervision. Highly skilled in multi-tasking and project prioritization, and effective communication.

Essential Duties Summary:

  • Manages overall office administrative functions.
  • Completes office management/administrative responsibilities: Prepare travel arrangements, order supplies, requisitions, maintain shared Outlook calendar of due dates, procurement card & travel card reconciliations.
  • Organizes department meeting scheduling and agendas.
  • Assists with preparation and completion of Federal and State reports: prepare memos to be sent to key university personnel, updates data sheet of final numbers.
  • Coordinates securing training labs, registration and attendance of training sessions.
  • Assist with the maintenance/monitoring of the data request log.
  • Completes common/ simplistic data requests of content available on department website or in Argos.
  • Liaise with campus partners, as needed to support the completion of departmental assignments.
  • Supports website maintenance.
  • Performs other job-related duties as assigned.

Hiring Range:

$55,038.89 - $70,174.59

Bachelor’s degree (B.A, B.S., etc.).

Work Experience:

  • Minimum of two (2) years of related administrative experience.
  • Experience with Smartsheet is preferred.
  • Power User of Microsoft Excel and PowerPoint preferred.

Working/Environmental Conditions:

  • Routine office environment.
  • Sitting or standing in one location much of the time.
  • Some stooping, lifting or carrying objects light weight may be required.
  • Use of video display terminal.
