Job SummaryThis position provides administrative and clerical support to the division of University Advancement and serves as liaison to departments and organizations. Reporting to the Vice President, this position provides executive level administrative support in support of the department. This position requires a high degree of flexibility, excellent interpersonal and communication skills; may perform other related duties as required.

Responsibilities- Provides executive level administrative support for the Division of University Advancement
- Performs an extensive variety of administrative services; composes correspondence, prepares and processes forms, travel itineraries, requisitions, and similar documents
- Arranges and schedules appointments; manages office activities
- Takes and transcribes minutes for the SSU Foundation
- Manages calendar; maintains central filing system and office procedures for quick retrieval of information
- Tracks progress on special projects and fundraising events for timely completion
- Maintains up-to-date records of budget expenditures and spreadsheets
- Attends related meetings; handles key requisition/distribution, maintenance and vehicle requests
- Oversees the screening of visitors and telephone calls
- Apprises vice president of office activity
- Work may require occasional evening and or/overtime assignments
- Assist with check receipting and depository
- Assist with management of scholarship universe
- Minimum of an associate's degree with supplemental courses in business and or administrative systems
- A minimum of five years' administrative support experience
- Must have knowledge and demonstrated experience in tracking and maintaining a departmental budget and executive calendar
- Strong oral and written communication skills, with ability to interact effectively and tactfully with outside contacts and all levels of the university environment
- Must have experience and comfort level with using a database (Raiser's Edge preferred), proficiency in Microsoft Office Suite
- Must be able to maintain confidentiality
- Must be able to work independently to prioritize work, meet deadlines, and determine methods and procedures to resolve administrative office problems
The proposed salary range is $18.50 to $20.95 per hour.

- Ability to communicate effectively, interact with internal and external constituents in a prompt and professional manner
- Ability to work with minimal guidance and maintain confidential records and discretion
- Ability to manage time effectively and multitask projects
