Job Details
Duties include:
- Responsible for the oversight of all activities under the collaboration, including performance metrics, financial reports, project milestone report out, timelines, and adherence to contract terms and institutional policies.Plan and prepare for quarterly Joint Steering Team meetings. Facilitate the contracting process for each accepted SRA, including sub-contracts and budget. Pull together various stakeholders to resolve contracting issues and work to resolve issues. Plan and execute annual plenary leadership meetings and research symposiums.Work cross-functionally with the appropriate stakeholders and staff in support of multiple industry partner needs and objectives. Compose and draft documents and correspondence for presentations, course handouts, conferences, seminars, and reports. Perform substantial editing and fact-checking. Create, maintain, modify, and/or ensure the accuracy of content in various documents, reports, media, and/or websites.Own and manage all logistics for multiple travel opportunities for those involved with the collaboration. Help project teams analyze project goals/deliverables and develop sequenced action plans to execute. Create KPIs. Monitor project progress and status and realign with action plan when off track.Leverage resources and assets to drive projects forward. Examples include: Stanford contracting and compliance offices, Research IT, Stanford Medicine leadership for project support, SHC operational support, Secondary Data Use committee reviews, etc.Provide operational and administrative support to a joint governance body responsible for monitoring the progress of the partnership, prioritizing initiatives, and overseeing the allocation of funding, including document management, the creation of meeting agendas, meeting facilitation, and the generation of regular status summaries and reports.Responsible for the successful administration of research projects, including RFP process, maintenance of master files, guiding Pls through the contracting process, communication with applicants, back-end processing, and tracking of individual grants.Lead daily or weekly study huddle meetings to raise issue awareness and resolve obstacles. Bring in external Stanford departments and SMEs as needed. Liaison with vendors as needed. Escalate issues as needed to the correct level of the organization for resolution.Serve as the primary point of contact to collaboration leaders and liaise between leaders, researchers, and various stakeholders across both institutions e.g. communications, legal, privacy, etc.) as necessary to realize collaboration vision.Assist key stakeholders and collaboration leaders in developing and executing change management strategies.Requests for projects will go out Stanford University wide, but based on the targeted subject matter, we assume 75% of projects will be funded in the School of Medicine and 25% will be funded in the BioEngineering Department which is housed in both the School of Engineering and School of Medicine.Some projects may require IRB, data, stem cell, or animal review.This position reports to an Industry Relations Sr. Relationship Manager.
- 2-3 years of project management experience.Executive presence, able to partner and influence executive-level partners as well as SoM/SHC executives.Interpersonal, communication, and customer service skills to work with physicians, faculty, staff and students with tact and diplomacy. Keen grasp of interpersonal and impact awareness.Comfortable facilitating high stakes meetings with multiple parties at the table.Demonstrative diplomatic capabilities and conflict management skills.Advanced information gathering skills and interrogation skills.Proactive self-starter, creative, analytical thinker, detail-oriented, highly organized, evangelist energy level.Outstanding communication, report writing, and presentation skills.Confidential and professional. Takes precaution and understands the importance of projects/tasks that may be under privacy and/or a Non-Disclosure Agreement (NDA).Ability to manage multiple, complex projects and meet deadlines. Ability to take initiative and ownership of projects.Ability to routinely and independently exercise sound judgment in making decisions.Highly effective and polished written and oral communication skills to address a wide variety of audiences, ensuring the purpose/main ideas/thesis is always clearly stated in documents.Ability to productively assemble, engage, and lead cross-functional teams.Ability to prioritize, multi-task, set goals and expectations, and meet deadlines. Effectively communicating variance to deadlines or expectations, when necessary. Ability to balance customer expectations with project reality.Keen grasp of interpersonal and impact awareness.Advanced computer skills and demonstrated experience with office software and email applications. Familiarity with both a MAC and PC. Must be proficient with Word, Excel, PowerPoint, Outlook, Google Suite, and ability to use various online software tools (e.g., Lucidchart, Mural, etc.).
- Polished written and oral communication skills to address a wide variety of audiences.Ability to productively engage and influence cross-functional teams.Demonstrated project management ability to employ integration, scope time management, cost, quality, human resources, communications, risk, and procurement components.Demonstrated resilience, diplomacy, influence, relationship building, and problem solving skills in a variety of situations.Depth of knowledge in technical discipline/domain needed to deliver projects.
PHYSICAL REQUIREMENTS*:
- Frequently sit, perform desk based computer tasks, grasp lightly/fine manipulation and lift/carry/push/pull objects that weigh up to 10 pounds.Occasionally stand/walk, write by hand, twist/bend/stoop/squat and lift/carry/push/pull objects that weigh up to 20 pounds. Rarely use a telephone, kneel, crawl, climb ladders, reach/work above shoulder, grasp forcefully.

WORKING CONDITIONS:
- May be exposed to extreme hot and cold temperatures, be exposed to high voltage electricity, radiation or electromagnetic fields, lasers, noise > 80dB TWA, allergens/biohazards/chemicals /asbestos, or heavy metals or work on roofs at heights greater than 10 ft.Travel locally and cross-university.
