Position Summary:

This position supports the Student Finance Office and the operation of the Finance team. The Student Finance Associate, CEWD Registration assists the Executive Director, Student Finance/Bursar as the primary contact for students, parents, staff, and other involved parties relating to registration and payment for continuing education and workforce development (CEWD) classes and when needed assists with academic student’s tuition/fee payments. The Student Finance Associate, CEWD Registration accurately registers, receipts payments, reconciles daily cash, check, and credit card transactions, invoices external organizations for tuition and fees, analyzes variances on accounts, and performs monthly account reconciliations. This position will use varying styles and approaches that reflect an understanding and acceptance of the role of culture in a diverse, multicultural workplace.

Essential Duties and Responsibilities:

The following are the functions essential to performing this job:

1. Provide a high level of customer service in a fast-paced environment with knowledge of CEWD programs, class offerings, pre-requite requirements, enrollment information, and payment options.
2. Assist students with navigating the on-line registration system (Lumens).
3. Provide initial advising to incoming students regarding CEWD programs in coordination with various program areas and FCC Admissions Office.
4. Accurately create student profiles, register students, and accept all forms of payment for CEWD classes in Lumens, interpreting placement scores when applicable.
5. Ensure appropriate charges, accurate accounting codes, and verify cash/check totals.
6. Reconcile and balance daily cash, check, and credit card transactions.
7. Work with Student Success Coach and Financial Aid staff to award and disburse scholarships to student accounts.
8. Assist with monitoring the Lumens Middleware Cloud (LMC) to ensure appropriate charges, accurate accounting codes, and that registration and payment transactions flow to PeopleSoft correctly.
9. Assist with troubleshooting and testing CEWD transactions and business processes in Lumens, LMC and PeopleSoft.
10. Provide analysis for student accounts to identify duplicate IDs, reconcile financial aid, scholarships, payment plans, third party billing, and past due balances.
11. Process CEWD refunds via credit card, e-voucher, or check refund.
12. Reconcile third party accounts and prepare timely invoices based on assignment.
13. Pursue collections with past due balances on assigned third party accounts.
14. Support the Student Finance Associates when needed, including posting payments, printing class schedules, and other functions as deemed necessary.
15. Assist and coordinate with CEWD staff regarding student drops, class cancellations, and refund appeals.
16. Communicate errors and/or scheduling inconsistencies to appropriate CEWD staff members.
17. Scan and link all required documents into Perceptive Content daily for record keeping.
18. Collaborate with various offices on campus to ensure student success and retention.
19. Comply with the Family Education Rights and Privacy Act (FERPA) as it relates to Student Finance.
20. Assist with reporting and other functions as requested to support the Finance team objectives.
21. Perform other duties as assigned.

Required Minimum Qualifications:

1. Associate Degree2. One (1) year of experience in a financial/accounting position.3. Two (2) years of experience in a customer service position.

Desired Qualifications:

1. Experience in a registration function in higher education
2. College course work in accounting or finance
3. Experience working with customers regarding account activity
4. Experience analyzing and reconciling financial transactions
5. Experience maintaining a high degree of accuracy and attention to detail
6. Experience with ERP systems, such as PeopleSoft or Lumens, and ability to create reports
7. Experience with registration within a database system
8. Experience with MS Office Suite software
9. Excellent communication skills
10. Experience with cash handling
