Job Description Summary / TWC Summary:

Under general supervision performs record management functions for the University’s personnel records and files in compliance with University and legal requirements. Conducts research to calculate prior state service. Ensures record retention activities comply with University policies, operating standards, legal requirements, and regulations.

Essential Duties Summary:

  • Serves as lead to temporary assistants and student workers in records and retention area to guide record retention activities.
  • Receives, sets up, retrieves, maintains, and stores personnel files in the electronic records management system in accordance with established policies and procedures. Ensures compliance with policy regarding the retention, dissemination, access, and storage of confidential information.
  • Verifies employment and completes legal inquiries and other types of requests for employee data. Completes Name/Address Changes for employees. Enters verified data into Human Resources Information System (HRIS).
  • Conducts research from hard copy files to compile information necessary to calculate prior state service.
  • Assist the Employment unit, primarily the Sr Employment Specialist, in duties related to the onboarding of new employees. These duties may include posting job vacancies on the PeopleAdmin Applicant Tracking system, submitting I-9 documentation for E-Verify processing, submitting documentation for background check verification, verifying the completion of submitted new hire documentation, and/or assisting with New Employee Orientation.
  • Serves as back-up for the front desk receptionist.
  • Maintains the Records Unit Master database.
  • Responds to Texas Workforce Commission claims.
  • Performs other job-related duties as assigned.

$18.280160 - $21.9357

Education:

Some college or Associate’s degree (A.A.) and/or vocational or technical school and/or specialized training or certification.

Required Licensing/Certification:

Valid Texas Driver’s License preferred.

Knowledge of:
• Federal, State, Local, and County laws.
• HR policies, procedures, and practices.
• Microsoft Office Professional or similar applications.

Work Experience:

One (1) to three (3) years related experience.

Working/Environmental Conditions:

Stoop, bend, kneel, and lift.
Use of video display terminal.
Use of manual dexterity and fine motor skill.
Communicate information verbally and in writing.
Receive and understand information through verbal and written communication.
Proofread and check documents for accuracy.
Sitting or standing in one location.
Carry objects of light weight.
