Position Summary
The Advancement and Alumni Relations Coordinator is a pivotal role within the Office of Advancement and Alumni Relations, reporting directly to the Vice President for Advancement and Alumni Relations (VPAAR). This position supports a range of activities, including fundraising, alumni relations, stewardship, and communications.


Responsibilities
  • Administrative Support: Manage day-to-day operations, including scheduling meetings, coordinating communications, and maintaining documentation. Responsible for drafting and disseminating reports and other materials for advancement meetings.
  • Financial Oversight: Oversee departmental expenses, ensure accurate record keeping, reconcile monthly budgets, and manage monthly P-card statements.
  • Event Coordination: Assist in the planning and execution of events, including creating nametags and providing day-of event support. Coordinate logistics for committee and divisional meetings.
  • Liaison Role: Serve as the primary contact for external and internal inquiries. Act as liaison for donor and alumni committees, attending meetings and recording minutes, particularly for the Board of Trustee Advancement Committee.
  • Communication Support: Assist in drafting event and prospect briefings for the President's Office. Support the Associate Director of Alumni Communications with content creation for the website, social media posts, and editing materials.
  • Stewardship Assistance: Collaborate with the Assistant Director of Stewardship & Donor Relations to support stewardship programs and activities, helping to organize communications and events.
  • Data Management: Assist the Advancement Services Manager with producing gift receipts and acknowledgments and with timely, accurate data entry into CRM Advance.
  • General Administrative Duties: Handle routine administrative tasks such as making copies, managing supplies, and equipment maintenance. Arrange travel and manage schedules as needed.

  • Required Qualifications
  • Bachelor's degree from an accredited four-year college or university.
  • Minimum of two years in administrative support, preferably in a similar role.
  • Proficient in Google Suite, Microsoft Office, particularly Excel. Experience with email and calendar management essential.
  • Excellent verbal and written communication abilities.
  • Strong organizational and collaborative skills, with the ability to manage multiple tasks efficiently.
  • Exceptional ability to interact effectively with various university constituencies,, including employees, students, trustees, and external parties. Must possess strong interpersonal skills and demonstrate a high level of discretion and confidentiality.
