Description:

Reporting to the Dean of Students, the Senior Assistant To performs a full range of clerical tasks for the Dean of Students Office Suite, including providing support for the Dean of Students, Associate Dean of Students, Assistant Dean of Students and the office of Community Standards.

Responsibilities include, but are not limited to:

  • Assists and welcomes visitors to the Dean of Students suite.
  • Engages with administrators, faculty, students, parents, other family members, and the general public – in person, by telephone, teleconference, and in writing while maintaining a high standard of service.
  • Assists with drafting and maintaining official and internal correspondence.
  • Fields calls and answers emails for the Dean’s office.
  • Assists with coordination of calendars, organizing meetings, and supporting the planning and execution of projects, receptions, and events for the department and within the division.
  • Organizes and arranges travel as needed.
  • Assists with the preparation of forms, supply orders, and organization of office supplies.
  • Assists with maintenance of official office records for the Dean of Students suite including budget maintenance, requisitions, and correspondence.
  • Provides support to the Student Emergency Assistance Fund including creating check requests, ordering textbooks, and requesting loaner laptops with IT as needed.
  • Drafts memos, processes departmental forms, and prepares other necessary paperwork.
  • Tracks the status of pending items and ensures follow up is completed as needed.
  • Collaborates effectively with colleagues across the division as needed.
  • Assists with tracking and monitoring daily reports issued from Public Safety and inputs data into the tracking software system.
  • Updates departmental reports and ensures accurate and timely documentation in databases.
  • Communicates with faculty to assist with student support services.
  • May perform other assigned duties not specifically identified above but which require the same degree of skills normally included within the above job title.
Hours: Monday through Friday from 8:30am to 4:30pm.

Qualifications:

  • Proficiency in Microsoft Word, Excel, and Outlook required.
  • Detail-oriented, self-motivated team player.
  • Ability to handle multiple priorities in a fast paced, deadline driven environment.
  • Ability to handle sensitive information with the upmost discretion.
  • Excellent problem-solving skills and ability to analyze and revise operating practices to improve overall efficiency to best meet the needs of the student population.
  • Exceptional interpersonal communication and phone skills.
  • Superior organizational skills and dedication to completing and delivering assigned projects in a timely manner.

Preferred Qualifications:

  • Innovative thinker with the ability to use technology enhancing services and resources for the betterment of the student community a plus.
