Description:

Reporting to the Associate Dean for External Relations and Field Placement, the Assistant To performs a full range of secretarial duties for the Office of Field Placement.

Responsibilities include, but are not limited to:

  • Assists the Associate Dean for External Relations and Field Placement to arrange approximately 350 participant-observer and observer-only fieldwork placements each semester, in schools on Long Island and New York City for preservice teachers in the SOE.
  • Facilitates the processing of participant observer applications in the pre-approval phase.
  • Communicates daily via phone and email with schools/school districts to make final and specific field placement arrangements.
  • Compose letters of request to schools/school districts for each student placed in the field.
  • Monitor receipt of approval for each field placement and resubmit requests to additional districts when rejection occurs.
  • Serve as the central point of contact in communicating with students, supervisors, and professors regarding each specific field placement arrangement.
  • Customer service specialist for heavy volume of calls and emails regarding field placement issues.
  • Maintains records of field placements in all student databases.
  • Prepares placement letters for school districts, course professors, field supervisors, cooperating teachers and students.
  • Arranges orientations and meetings for field supervisors and students. Prepares all materials needed for these meetings.
  • Corresponds with faculty and students via email regarding meeting notices and memos.
  • Prepares and distributes vouchers to cooperating teachers.
  • Files, photocopies, faxes, and maintains extensive electronic files.
  • May perform other duties not specifically identified above, but which require the same degree of skills, and which are normally included within the above job title.

Hours: Monday through Friday from 9am to 5pm.

Qualifications:

  • Proficiency in Microsoft Word and Excel required.
  • Ability to work in a fast-paced environment that requires successful multitasking and a high degree of accuracy.
  • Excellent interpersonal and communication skills.
  • Must be detail oriented, self-motivated, and well organized.
  • Team player with ability to work in a fast-paced, deadline driven environment.
