Description:

Reporting to the Dean, the Part-Time Secretary provides secretarial support to the Dean’s office in the School of Health Sciences. This position requires an individual who is detail oriented, self-motivated, well organized, and has the ability to exercise good judgment and discretion with sensitive and confidential information in a fast-paced environment.

Responsibilities include, but are not limited to:

  • Greets visitors and callers, handling their inquiries, and directing them to the appropriate individual.
  • Assists the Administrative Assistant with maintaining appointment calendars for Dean, Vice Dean, Associate Deans and Assistant Deans.
  • Maintains and updates personnel files.
  • Tracks and resolves status of outstanding academic forms.
  • Assists with the tracking of the Dean’s office expenses and prepares expense reports.
  • Maintains general office supplies inventory.
  • Orders posters, envelopes, letterhead, post cards, etc. through the online Print Center.
  • Maintains office equipment by making necessary service calls and ordering computer/printer supplies.
  • Assists with event planning by collaborating with Event Management, Conference Services, Tech Services and Catertrax, as needed.
  • Manages and distributes incoming mail and other materials.
  • Submits work orders and key requests to the Plant Department.
  • Assists with the preparation of pamphlets, flyers, and other departmental information documents.
  • Processes reimbursements via check requisitions and Chrome River.
  • May perform other duties not specifically identified above, but which require the same degree of skill and which are normally included within the above job title.

Hours: Monday through Friday from 8:30am to 12:30pm
Subject to bumping

Qualifications:

  • Prior office experience required.
  • Excellent interpersonal, communication, and organizational skills.
  • Ability to prioritize and work on initiatives in a fast-paced, deadline driven environment.
  • Ability and willingness to handle data entry, mail merges, and tables.
  • Excellent typing skills and proficiency in Microsoft Word, Excel, and Outlook.

Preferred Qualifications:

  • Previous work experience with Ellucian Banner, Chrome River, DegreeWorks, Online Print Center, Work Request – WebTMA7, 25 Live, CTS Web and Room Reservation is a plus.
