Job Summary

The Coordinator of Pre-College Programs (CPCP) reports to the Director of Pre-College Programs (DPCP) and has primary responsibility for enrollment management and communications for the University’s residential and online pre-college programs. The CPCP implements all stages of the enrollment cycle, including application management, registration and billing, and student support. This role serves as the chief point of contact for the public, including potential and current students and families, educators, and press, and manages all program-related communications. The CPCP also provides administrative and operational support for pre-college academic program delivery, working with administrative and academic units across campus, and regularly assists faculty with logistics and planning.

Essential Functions

  • Holds primary responsibility for designing and managing both the application and registration processes for pre-college programs at the University to ensure applicants experience a coherent, smooth process. Compiles relevant application materials and forwards to faculty with admissions recommendation. Regularly prepares reports regarding enrollment data.
  • Oversees the registration process for pre-college programs. Assists admitted students with course registration. Works with Registrar’s Office, Bursar’s Office and UWW (University Without Walls) staff to manage registration, billing and payment processes.
  • Makes scholarship arrangements for awardees. Works with staff in Conference Services, Recreation Center, UCard Office, etc., to arrange housing, meals, and other residential amenities.
  • Fields phone and email inquiries from prospective students and families. Manages all program-related communications with accepted students.
  • Updates web-based systems, including CRM and marketing platforms, and creates digital marketing campaigns. Assists with website updates and maintenance.
  • Assists with the implementation of marketing strategy, including inbound marketing and social media. Purchases and makes arrangements for exhibiting at opportunity fairs; attends events to publicize pre-college programs.
  • Organizes major events including but not limited to student research poster sessions and student move-in days.
  • Coordinates with residential staff to implement residential life protocols.
  • Provides administrative support as needed to the Director of Pre-College Programs, Faculty Directors, and residential staff. Assists the DPCP with hiring decisions and training for Pre-College office staff. Assists in program, protocol, and residence life planning.
  • Coordinates CORI/SORI checks for faculty and staff participants of the Pre-College Program. Consult with the Executive Director of Financial Planning and Operations as needed.
  • Works closely with numerous campus departments including:
  • Academic Departments,
  • University Without Walls (UWW),
  • Office of Information Technology,
  • University Relations,
  • Bursar’s Office,
  • Registrar’s Office
  • Supervises program staff, comprising of undergraduate and graduate students
  • Other Functions

    • Performs other related duties as assigned or required to meet department, executive area/division and University goals and objectives.
    • Demonstrates capacity, skill, and willingness to engage students and contribute to student success.

    Minimum Qualifications

    • Bachelor’s degree.
    • Three (3) years of relevant experience.
    • Adept with a wide range of software packages and applications, including Microsoft Office suite, Google Suite, and CRM systems such as Salesforce.
    • Ability to manage a high volume of work, prioritize tasks independently, and meet deadlines.
    • Possess strong verbal and written communication skills, and the ability to work with students, families, faculty, and professional staff.
    • Possess excellent customer service and organizational skills, and a high degree of attention to detail.
    • Ability to maintain student confidentiality and be familiar with FERPA regulations.

    Preferred Qualifications

    • Prior experience in higher education administration.
    • Prior experience working with the high school student population.
    • Experience with print, web, trade show, conference, or convention marketing.

    Physical Demands/Working Conditions

    • Typical office environment.
    • Some travel between buildings on campus.

    Additional Details

    The Pre-College program at UMass Amherst offers residential and online courses and college experiences to students who are rising sophomores, juniors, and seniors in high school. Pre-College staff work during the academic year to build and market a roster of programs with extra-curricular activities and then maintain an appropriate environment for minors in residence at UMass Amherst in the summer through the implementation and administration of departmental and University regulations.

    Work Schedule

    • Monday - Friday, 8:30 a.m.-5:00 p.m.
    • Some nights and weekends required.
