The University of Miami/UHealth Calder Medical Library has an exciting opportunity for a Full Time Senior Library Assistant to work at Calder Medical Library in Miami, FL.
The Senior Library Assistant performs a variety of paraprofessional and routine administrative functions in support of the assigned library’s operations. Additionally, the Senior Library Assistant provides guidance, mentorship, and supervision to junior staff and tackles the more complex and difficult work. Furthermore, the incumbent in this position maintains high customer service standards at all times.
CORE JOB FUNCTIONS
1. Performs a variety of routine circulation and customer service duties such as registering patrons, issuing library cards, and checking out books.
2. Maintains media materials by cleaning, repairing, and reordering.
3. Monitors and checks library computer equipment.
4. Receives and resolves customer problems and complaints.
5. Compiles and maintains accurate records and statistics for reporting purposes.
6. Verifies bibliographic information for library materials and adds items to catalog database.
7. Prepares informational materials such as book displays, exhibits, bulletin boards, and flyers.
8. Plans and participates in various University outreach activities.
9. Provides limited reference and reader's advisory assistance.
10. Adheres to University and unit-level policies and procedures and safeguards University assets.

DEPARTMENT SPECIFIC FUNCTIONS:
Coordinate and set priorities for Lending or Borrowing operations when needed
Maintain awareness of Interlibrary Loan copyright compliance
Assist with billing of invoices for services provided
Process regular and rush Lending/Borrowing requests according to detailed instructions and using software such as: DOCLINE, OCLC, and MS Outlook Email. This involves searching DOCLINE, OCLC WorldCat and Workday using specialized search techniques and evaluating information to determine further actions to be taken
Know and apply policies and procedures to facilitate electronic delivery of documents to University of Miami Patrons and other Universities, Hospitals, and Libraries.
Process electronic delivery requests using MS Office and specialized scanners. Digitize materials going on e-reserves, adhering to copyright laws
Coordinate the pickup and drop-off of material from the Architecture, Music, Richter and Marine Libraries
Retrieve materials from stacks, prepare materials for Document Delivery and oversees delivery of ILL materials to other libraries (via mail, courier, International shipping, and Email)
Receive and process materials from Lending Libraries and prepare materials for delivery to library patrons
Establish and apply procedures for timely processing of overdue items, conditional pending items, renewals, resends, and problem requests for ILL; this involves using specialized search techniques and judgment to select, interpret, and process records for further actions
Coordinating shipping for all returning items to Lending Libraries
Update e-journal listing on DOCLINE
Ensure DOCLINE and Calder’s electronic A-Z database are in synch
Inform Supervisor of any title changes or corrections to A-Z database
Process copyright clearance for all Borrowing Requests
Order items through Borrowing that could not be found during the Paging Process for our Patrons
Routinely checks and responds to the voice messages and Reserves or Lending Email
Maintain positive customer relations with faculty, students and staff, vendors, authors and publishers
Inform University faculty of any procedural changes, copyright policies, and services that we provide
Assist with library-wide projects as assigned
Covers circulation desk
Participate in library committees and teams as needed
Participate in training programs and workshops as assigned
Assist with maintaining up to date procedures manuals for Interlibrary loan/Reserves operations
CORE QUALIFICATIONS
Education: High School Diploma or equivalent
Experience: Minimum 3 years of relevant experience
Knowledge, Skills and Attitudes:
Skill in completing assignments accurately and with attention to detail.
Ability to analyze, organize and prioritize work under pressure while meeting deadlines.
Ability to process and handle confidential information with discretion.
Ability to work evenings, nights, and weekends as necessary.
Commitment to the University’s core values.
Ability to work independently and/or in a collaborative environment.
Proficiency in computer software (i.e., Microsoft Office).
Excellent organizational skills
Excellent Customer Service and interpersonal skills
Must be able to lift 30 pounds and push 50+ pounds
Must be able to bend/kneel or stand on a stool or ladder to reach books at various heights
Must be willing to handle dusty books
Strong written and oral communication skills
Understanding of Internet navigation/research required
Fluency with Ex Libris Alma or similar library system preferred
Familiarity with medical terminology preferred
