Job Description Summary
We are seeking a dedicated and passionate individual to join our team as a temporary part-time Fife-Penn STEM and CS Academy Program Assistant. The Program Assistant will work with the Director of Community Engagement and Outreach and staff to ensure proper documentation of program services, electronic files, and community outreach. While the Program Assistant reports to the Director of Community Engagement and Outreach, they may receive special community engagement and outreach projects. Projects may include but are not limited to completing administrative work for the Fife-Penn STEM and CS Academy, creating and disseminating surveys to school partners and Fife students, assisting with websites, social media, and the newsletter, and helping to plan and facilitate events and activities. The Program Assistant will also handle confidential documents and information, so confidentiality must be maintained.
Job Description
Responsibilities:
- Organize and manage program logistics (e.g., scheduling, coordination with instructors and students, school schedule, reservations, materials preparation).
- Maintain program communications, including responding to inquiries, drafting emails, and preparing announcements.
- Track and report program metrics, such as student attendance, participation rates, and outcomes. Perform general office tasks, such as filing, copying, and data entry, for program records.
- Provide support for special events, including workshops, guest lectures, and field trips.
- Update the program website and social media platforms to reflect current information and events.
- Collaborate with internal and external stakeholders to strengthen program partnerships.
- Assist with the preparation of program evaluations and feedback collection from students and staff.
- Coordinate with the Director and Program Coordinator to ensure all projects meet target goals.
Qualifications:
- High School Grad/GE Degree and 2 to 3 years of experience or an equivalent combination of education and experience.
- Strong organizational skills and ability to manage multiple tasks and deadlines.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and basic data management systems.
- Excellent communication skills—both written and verbal.
- Ability to work independently and as part of a team in a fast-paced environment.
- Experience in event planning and coordination.
- Attention to detail and accuracy in record-keeping and reporting.
- Have to pass a background check for working with minors in PA and continue to recheck every 60 months
Preferred:
- Experience working collaboratively with students, schools, and community groups
- Previous administrative assistant experience
- Experience in K-12, informal, and/or higher education
- Familiarity with survey and data collection, especially with minors
- Experience building solid relationships with Community stakeholders
- High School Grad/GE Degree and 1 to 2 years of experience or equivalent combination of education and experience is required.
