About you:The successful Program Manager will be adept at working with physicians, faculty scientists, collaborators, and vendors and will be experienced at managing a portfolio of programs. You are skilled at project management, experienced in executing successful live and virtual programs, exceptionally organized, highly motivated, flexible, savvy in developing and navigating relationships across multiple organizations, and capable of working independently. You have solid business and technical skills, an inquisitive mind, an eye for excellence, and a track record of building effective systems and making sound decisions. You recognize new opportunities and challenges and approach them with a customer orientation and an entrepreneurial approach. You thrive in a collaborative, fast- paced, and mission-driven team. Above all, you enjoy making a difference for physicians and scientists, engaging with world-renowned faculty, interacting with a wide range of diverse individuals at many levels, and developing lasting relationships both internally and externally.Specific duties include:
- Manage a portfolio of program offerings for physicians and scientists.Responsible for providing project management and operational support to successfully execute programs, including managing timelines and coordinating logistics to support successful programs. Develop and implement communication plans for target audiences in partnership with our Communication team. Collaborate with other Stanford Medicine teams that provide programs with significant benefit to physician and scientist well-being and support joint program offeringsIn partnership with faculty and colleagues, contribute to the design and manage the implementation of new programs identified as gaps in the current portfolio.Implement programs designed by our Center to support physician and scientist well-being in response to crises impacting Stanford Medicine and our community (e.g. pandemics, fires), so our people are supported as individuals and better able to continue with their critical work.Identifying potential risks to program success and developing strategies to mitigate these risks.Understand and be the Centerâs internal expert on key benefits and offerings for faculty, fellow, and resident that are managed by other areas of Stanford Medicine and support well-being. Liase with human resource departments at Stanford University, School of Medicine, Stanford Healthcare, and Stanford Childrenâs Hospital and other key centers.Support task forces commissioned by WellMD & WellPhD, the resulting recommendations, and ongoing implementation efforts, when appropriate (e.g. Lactation Support Task Force).Support the scaling of programs at Stanford Medicine that have been piloted and determined effective. Assess efficacy and impact of programs and recommend opportunities for improvement.Communicate professionally with faculty leaders and program participants in a manner consistent with WellMD & WellPhDâs mission and communication style.Partner with WellMD & WellPhDâs Communication team on the promotion and logistics of programs.Contract with and oversee vendors, when applicable.Consult with Director of Programs and Education on high-level plans and practices to be consistent with the strategy, priorities, and norms of WellMD & WellPhD.
- Five years of experience 1) working on programs for physicians or scientists and/or 2) overseeing administrative programs at an academic medical center.Successful track record of:
- launching innovative programs or enhancing existing programsdeveloping systems and infrastructure to support programs or projectsmanaging program budgets and meeting budget goalscollecting and analyzing data and creating reports to inform team of program resultsreviewing trends and formulating and evaluating opportunities for improvement to achieve or exceed goals of program
- Program management experience involving physicians, scientists, or healthcare organizations.Demonstrated excellent planning and organizational skills, including prioritizing workload and meeting deadlines, while managing concurrent projects and commitments. Ability to work independently and in a teamwork environment.Demonstrated ability to take initiative and ownership of projects.Demonstrated creativity, problem solving, and critical analysis skillsExceptional interpersonal, written and oral communication skills. Demonstrated ability to communicate effectively to a variety of key stakeholders, through multiple channels.Keen attention to details; commitment to the accuracy and integrity of all data, reports and communications.Ability to routinely and independently exercise sound judgment in making decisions.Demonstrated experience working independently and as part of a team.Ability to accomplish goals working through formal and informal channels, with diplomacy and tact.Ability to direct the work of others, for jobs requiring supervision.Adept at engaging physicians and senior leaders.Proficient in use of Microsoft Office Suite products including Word, Excel, PowerPoint and Outlook.Computer knowledge and proficiency (Mac/PC).
PHYSICAL REQUIREMENTS*:
- Frequently stand/walk, sitting, grasp lightly/fine manipulation, perform desk-based computer tasks.Occasionally use a telephone, writing by hand, lift/carry/push/pull objects that weigh up to 40 pounds.Rarely sort/file paperwork or parts, lift/carry/push/pull objects that weigh >40 pounds.Ability to use voice to present information/communicate with others.On-campus mobility.
