Position Summary: The Welcome Center Coordinator is charged with providing a high-quality visitor experience to Mount Mary University, which includes student engagement and superior customer service. The Coordinator will manage all operations of the integrated Welcome Center. The Coordinator acting as a liaison with Admissions to ensure outstanding customer service to our constituent populations, especially with regards to the campus visit experience.
Primary Responsibilities:
- Co-supervises and trains front desk staff and coordinates Welcome Center operations: including hiring, supervising, and evaluating. Responsible for developing, communicating, and implementing new ideas and for making recommendations to refine policy and procedure based on interactions with students and families, faculty and staff. Performs all of the duties of a Welcome Center staff member as a backup. Ensures front desk staff are thoroughly trained in Student Information System (SIS) modules (registration, admissions, financial aid, billing and advising).Handles non-routine questions and difficult clients.Maintains 80/20 service goal for Admissions, Financial Aid, Student Accounts and Registration (80% of Welcome Center inquiries are handled by front desk staff, 20% referred to advisors/directors). Creates and maintains FAQ database/reference guide to ensure accurate and timely information to all constituencies. Research answers to FAQ's for other offices to respond quickly to questions outside of Welcome Center. Act as a campus resource by becoming familiar with popular programs, web navigations and other requests.Coordinates display cases, information boards and prepares electronic signage updates and visitor welcomes daily.Provides constant communication to staff via emails and meetings. Gives immediate consultation to staff and students. Provides immediate feedback as needed.Coordinates staff, student, and volunteer schedules to ensure adequate desk coverage during regular work days and arrange supplemental coverage as necessary during peak activity times (registration, freshman orientation, semester start, etc). Provide coverage to other offices as needed.Creates and maintains a comprehensive training manual for front desk staff.
- Bachelor degree from an accredited college or university or equivalent work experience and Associate degree. Two years of experience in higher education specific to Admissions, Financial Aid or Registration with supervisory experience.Proficiency with MS office suite, internet research, databases, and integrated student information systems. Ability to work autonomously, make independent judgments and render decisions with minimal direction.Attentiveness to accuracy and detail-oriented.Ability to work respectfully and productively with a diverse college staff and clientele.Demonstrated success in developing and executing effective training programs.Outstanding verbal, writing, and presentation skills; must be able to communicate and interact effectively with Mount Mary prospective students, students, employees, alumni, and guests.Demonstrated commitment to promoting inclusiveness and cultural competence; experience working with underrepresented students and students from at-risk backgroundsExperience and understanding of current issues and developments in higher educationExceptional ability to multitask and prioritize projectsBilingual candidates are encouraged to apply (especially those who speak Spanish)
