Academic Program Specialist
School of Natural Resources – UTIA
The School of Natural Resources (SNR) is accepting applications for an Academic Program Specialist. This position reports to the Director of the School of Natural Resources and is the primary point of contact for current and prospective students concerning our academic programs and university academic policies and procedures. The primary responsibilities of the position include processing, reporting, and maintaining graduate and undergraduate academic records, course scheduling, tracking, registration and enrollment for undergraduate and graduate programs, and providing support to students and faculty. This is a regular, non-exempt position with full benefits, Market Range 05, available to start immediately. The School of Natural Resources is committed to providing a safe and welcoming environment to all.
Responsibilities of the position include:
- Researching and analyzing academic information and records to draft course substitution petitions for review and approval by SNR’s Student Affairs Committee and undergraduate program coordinator.
- Working closely with the School’s Academic Success Advisor, undergraduate/graduate program coordinators, and faculty to provide guidance to undergraduate students with regard to course progression and program requirements, creating schedules, GPA projections, and course substitution petitions.
- Processing graduate applications and graduate school forms, and refers decisions on graduate admissions to the school’s Director of Graduate Studies.
- The Academic Program Specialist manages and maintains program/school academic records and coordinates and facilitates program and schedule changes for students.
- Reviews student advising numbers and assigns students to faculty mentors and advisors according to eligibility,
- Acts as liaison for internship and career opportunities.
- Assists with student recruiting, including scheduling and meeting with prospective students and their families; manages course timetable edits and classroom scheduling, and maintains the student database and email list.
- Administrative support includes providing logistical support for student organizations within the school, including communicating and scheduling student-led events.
- Preparing academic reports using multiple data sources.
- Arranging transportation for academic activities.
- Entering biweekly payroll for interns, and monitors and maintains the departmental list serv for student job postings.
Qualifications
Required Competencies and Qualifications:
- Computer skills using MS Office and Adobe Acrobat
- Ability to learn new software programs in a timely manner
- Interpersonal and customer service skills with the ability to communicate in a pleasant and friendly manner
- Strong quantitative and analytical skills
- Ability to multitask
- Ability to work effectively with a wide range of constituents in a diverse community
- Ability to gather data, compile information, and prepare reports
- Ability to use tact and discretion when dealing with a variety of confidential issues
- Data entry skills with attention to detail
- Ability to work independently as well as in a team environment
- Ability to communicate confidently and effectively, both written and orally, with faculty, staff and students
- Knowledge of basic grammar
Preferred Knowledge, Skills and Abilities:
- Skilled in Banner, IRIS, Argos and DocuSign
- Knowledge of UT academic policies and procedures and the ability to effectively apply them to situations
Education and Experience:
- A high school diploma and four years of relevant experience, or an equivalent combination of training and experience is required.
- An Associate's or Bachelor's degree with four or five years of professional administrative or customer service experience at a University is preferred.
