Title: Purchasing Coordinator

Description: Under the supervision of the Assistant Vice President for Finance/Controller, the Purchasing Coordinator is in charge of monitoring and tracking company credit card transactions through Chrome River, and is also responsible for Purchasing for all areas of the College. Must maintain positive cooperative relationships with students and all staff and faculty. The Purchasing Coordinator position also assists with several internal office positions such as the Assistant Controller, Controller, and the Vice President of Finance.

Responsibilities:
  • Purchasing
    • Process material requisitions as received and issue related purchase orders
    • Follow up with vendors to ensure items are received and accurately entered into computer system
    • Work closely with Accounts Payable Specialist to resolve any vendor discrepancies
  • Administers the Chrome River System
    • Review and submission of completed expense reports
    • Provides customer service and training of system to users
    • Monitors submissions to ensure they are done in a timely manner (with 2 weeks of being incurred)
    • Reconcile monthly credit card statements to General Ledger
  • Ability to create and maintain positive relationships with all internal constituents
  • Comply with all applicable college, federal, state, local and associational regulations.
  • As a representative of the College, the employee is expected to comport oneself in a professional manner at all times, both on and off campus.
  • Participate in significant campus activities including, WickWeek, True Blue Weekend, and Commencement Weekend
  • Additional job related duties as assigned
Qualifications: Minimum requirements for this position are strong computer skills and a general understanding of office etiquette.
  • Demonstrated knowledge of computer skills including proficiency with e-mail, Microsoft Office Word and Excel
  • Demonstrated ability to communicate clearly in a courteous, professional manner, both verbally and in writing
  • Experience performing accurate and timely work in an organized and efficient manner with minimal direction
  • Must be accurate and proficient with data
  • Knowledge of general office procedures required
  • Ability to quickly and accurately resume work with multiple interruptions
  • Ability to sit and be on the phone or enter data at computer for extended periods of time

Salary range: $18.00 - $22.00

Athletics
Hartwick sponsors 18 intercollegiate teams, 8 for men and 10 for women. Hartwick sports compete at the NCAA Division III level. Many of Hartwick's Division III teams participate in the Empire 8 conference.
