Position Summary
As the Administrative Assistant for UCLA's Government & Community Relations (GCR) office, you can advance your administrative career while providing critical administrative, operational and programmatic support to us. Familiarity with financial, procurement and other office/business related systems, as well as current or prior UCLA experience are of strong interest to us. Your prior organization, planning and communication experience will be highly welcomed assets to our team in ensuring a smooth workflow among our many activities and interactions. As our Administrative Assistant you will coordinate event and travel planning, schedule meetings, draft correspondence, respond to inquiries, manage information, assist with the department's social media presence and work on special projects. Your attention to detail and strong customer service approach will support the coordinated efforts we provide to the campus community, the University of California and national, state and local governmental entities. Salary & Compensation
*UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Salary offers at the top of the range are not common. Qualifications
  • Minimum of four years of prior demonstrated and successful administrative experience in managing and coordinating the activities of a busy and productive office in a constituent services-driven environment. (Required)
  • Current/prior UCLA administrative experience such as skill in utilizing university systems such as BruinBuy Plus, Concur, etc. is highly desirable and (Preferred)
  • Experience in managing social media outlets such as Twitter, Instagram, and Facebook. (Preferred)
  • Strong customer service approach with well-developed interpersonal skills to build and sustain collaborative and lasting relationships with a wide variety of internal and external constituents; ability to respond quickly and appropriately to requests. (Required)
  • Demonstrated high level of personal integrity, discretion and diplomacy; skilled in using judgment in situations requiring independent initiative and tact with ability to handle confidential matters and information. (Required)
  • Strong time management, planning and organizational skills; highly detail oriented with demonstrated ability to independently prioritize and work on multiple projects simultaneously, provide proficient follow up and make timely decisions, despite tight deadlines under minimal supervision. (Required)
  • Ability to work well as a team with excellent verbal communication skills to convey information accurately and interact effectively and diplomatically with others. (Required)
  • Strong written communication skills to prepare, proofread and edit a variety of correspondence and reports for correct grammar, punctuation, spelling and syntax with a keen eye for accuracy. (Required)
  • Proficiency with business software such as Google docs, Google forms, Word, Excel, Outlook and databases; ability and eagerness to learn new software and systems. (Required)
  • Demonstrated skill in organizing and implementing complex functions involving on- and off-campus constituents. Skill in organizing materials and people in a systematic way to optimize efficiency and minimize duplication of effort. (Required)
  • Creative, proactive self-starter that can take initiative, maintain an upbeat, positive attitude, and work collaboratively as part of a team in a complex fast-paced environment. (Required)
  • Strong research skills; resourceful and analytical with ability to gather, analyze, evaluate and synthesize information or circumstances to define problems and suggest solutions. (Required)

  • Bachelor's Degree or equivalent combination of education and experience in a higher education or related environment. (Preferred)
