Job Summary

Along with providing excellent customer service and coordination of the KU operator switchboard, processes and team, the University Relations Administrative Assistant provides complex and confidential administrative support to ten or more managers and executive directors of the offices of the Vice President, Marketing, Communications, and Web. Serving as office manager and building receptionist, the administrative assistant daily provides exceptional and autonomous office management support to department managers, assembles the Daily Brief for submission, manages calendars, schedules meetings (i.e. catering, room reservations, zoom), processes and coordinates high-volume procurement needs, invoicing and payments, travel management, pcard, budget and expense tracking, analysis and projection, maintains office standard operational procedure guides, assists in public relations duties in support of events, emergencies, updating and maintaining mailing lists, drafting copy (i.e. announcements), proofreading web, directories, Tower magazine, announcements and articles per AP Style. The administrative assistant successfully and positively liaisons with other campus departments and reports to and supports the Executive Assistant to the Vice President of University Relations & Athletics. Minimum Qualifications

  • Two or more years of the following:
    1. mid-to-senior level management support experience.
    2. budget and procurement experience.
    3. calendar and travel support experience.
    4. meeting and event support experience.
    5. office management experience.
  • Excellent customer service skills.
  • Ability to interact effectively with others.
  • Ability to handle multiple priorities.
  • Ability to work independently.
  • Effective oral and written communication skills.
  • Ability to manage information of a sensitive and confidential nature with discretion and in the utmost professional manner.
  • Ability to perform other duties as assigned.
  • Ability to relate to a culturally diverse university community.
  • Proficient in Microsoft 365 (Excel, Outlook, PowerPoint, Word), Adobe Acrobat, and SharePoint.
Preferred Qualifications

  • Bachelor’s degree.
  • Calendar and travel management experience.
  • Meeting and event coordination experience.
  • Experience in university relations and/or public relations.
  • Experience in higher education setting.
  • Experience with SourcePoint, Business Intelligence and/or Financial Edge, Ingeniux, Teams, Banner, Zoom and Adobe Photoshop.
  • Proofreading, copywriting and AP Style experience.
Supplemental Information

The starting salary for this position is $44,890 per the AFSCME CBA.

Comprising five colleges - Visual and Performing Arts, Business, Education, Liberal Arts and Sciences, and Graduate Studies - Kutztown University offers a diverse range of excellent academic programs to prepare individuals for successful careers.

Located on 325 acres in Kutztown (population:4,500), the university is 20 miles from both Reading and Allentown, 90 miles from Philadelphia and 100 miles from New York City. LVI International Airport is 25 minutes from campus. The campus is in a beautiful rural Pennsylvania Dutch community, an easy walk from the borough of Kutztown which has ample stores and shops to meet the needs of students.

Currently, 10,193 students are enrolled at the university from 26 states and 51 nations. About half of the undergraduates live in residence halls; the rest live at home or in nearby apartments. A well-rounded program of athletic, cultural, and social events and activities satisfies nearly every taste.

We have 330 full-time faculty members and boast a favorable 19:1 student-faculty ratio. Sixty percent of our faculty have doctorates, 39% earned master's degrees and 1% have bachelor's degrees.
