Job Details
The Administrative Assistant 1 provides high-level support to the Directors of Graduate Enrollment Management and International Education and Global Engagement. This position involves performing varied staff assignments that significantly impact departmental policies and procedures. The role requires analyzing administrative operations, developing work standards, conducting independent research, preparing comprehensive reports, and performing public relations and liaison duties.
Duties and Responsibilities:
1. Administrative Support:
- Analyze operational procedures and prepare detailed reports with recommendations
- Assist in developing departmental programs and policies
- Maintain records and compile reports and studies
- Review and respond to correspondence
- Prepare budget estimates and fiscal/statistical reports
2. Graduate Enrollment Management:
- Assist with graduate admissions processes and recruitment strategies
- Coordinate graduate student orientations and events
- Analyze enrollment trends and prepare reports
3. International Education Support:
- Assist with international student services and study abroad programs
- Support development of international partnerships
- Help organize international events and cultural programs
4. Staff Assistance:
- Provide support to administrative boards or commissions
- Prepare agendas and maintain records
- Supervise clerical staff as needed
- One year of experience as a staff assistant to an administrative officer or as a technician in a staff service of a large organization
- Bachelor's degree or any equivalent combination of experience and training
- Knowledge of principles and practices of public administration
- Ability to organize material and develop procedures independently
- Strong oral and written communication skills
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams)
- Experience with budgets in SAP and Business Intelligence
- Experience working with confidential information
- Ability to multitask and meet deadlines
- Experience with culturally diverse populations
- Experience in higher education administration
- Familiarity with graduate education and international programs
- Experience with web page editing
- Event planning experience
- Experience with PeopleSoft
- Bilingual (English/Spanish)

Located on 325 acres in Kutztown (population:4,500), the university is 20 miles from both Reading and Allentown, 90 miles from Philadelphia and 100 miles from New York City. LVI International Airport is 25 minutes from campus. The campus is in a beautiful rural Pennsylvania Dutch community, an easy walk from the borough of Kutztown which has ample stores and shops to meet the needs of students.
Currently, 10,193 students are enrolled at the university from 26 states and 51 nations. About half of the undergraduates live in residence halls; the rest live at home or in nearby apartments. A well-rounded program of athletic, cultural, and social events and activities satisfies nearly every taste.
We have 330 full-time faculty members and boast a favorable 19:1 student-faculty ratio. Sixty percent of our faculty have doctorates, 39% earned master's degrees and 1% have bachelor's degrees.
